- To provide clerical services for the Schools Division including staff development and training databases
Minimum Qualifications:
Education/Certification:
- High school diploma or associate degree
Special Knowledge/Skills:
- Ability to type a minimum of 50 words per minute
- Proficient skills in typing, word processing, Excel spreadsheets, and filing
- Effective organizational, communication, and interpersonal skills
- Ability to operate and trouble-shoot computers and other office machines
- Ability to use the English language proficiently
- Ability to use basic mathematical operations
- Ability to work with frequent interruptions
- Ability to learn and utilize specialized therapeutic restraint techniques to control student behavior, when appropriate
Experience:
- Two years secretarial experience in a public education environment
Major Responsibilities and Duties:
- Organize and manage the routine clerical work activities in the School Administration
- Initiate and maintain General Office functions.
- Answer telephones and interact courteously and effectively with parents, students, school personnel, and visitors.
- Assist parents, students, staff and clients as needed.
- Maintain inventory of program supplies, mailing lists, student records, visitor logs, and office communication.
- Schedule meetings and appointments and maintain calendar for director and other personnel as assigned by the senior director.
- Assist the Division in the preparation and routing of reports, memos, and other documents.
- Assist the Division in maintaining accurate accounting records.
- Assist with copying, receiving, storing, and issuing supplies and equipment.
- Sort, distribute, and/or deliver mail and other documents in a timely manner.
- Keep informed and comply with state, department, and division policies and regulations concerning primary job functions.
- Comply with all HCDE procedures and timelines.
- Maintain continuing professional education records for all staff.
- Provide support as needed for school-based clerical staff.
- Maintain confidentiality of information.
- Treat all staff with dignity, integrity and respect.
- Perform other duties as assigned by the senior director.
