The General Office Assistant performs a range of basic office activities to support Pipeline's daily operations. This role involves answering phone calls, emails, and other written communications, and greeting clients for office appointments. The best candidate for the position will assist new clients in completing paperwork and enter demographic information into the electronic health record system. The General Office Assistant will also coordinate the referral system for new clients, by organizing the intake and assessment process and creating the initial client appointments. The General Office Assistant will have some accounts payable and receivable and data entry responsibilities.
- Greeting and directing clients at the agency.
- Organizing and implementing the referral and intake process.
- Taking calls and delivering messages while using standard office equipment.
- Assist in ordering, monitoring, distributing, and restocking office supplies.
- Maintaining cleanliness of waiting room.
- Obtaining patient authorization for medical records release. (HIPPA compliance)
- Accounts payable and receivable processing.
- Verifying Insurance information at each visit.
- Be available as needed by Pipeline for meetings and special projects.
- Excellent communication and people skills with an aptitude in problem-solving.
- Working knowledge of Microsoft Word, Excel, Teams, and EMR (Therapy Notes) Software.
- Desire to work as a team with a results-driven approach.
- Flexible scheduling: weekdays during business hours, although Saturdays and evenings will be required.
- Minimum of a High School diploma; Associate degree or higher preferred.
- At least 1-year relevant experience or training.
