- Minimum of an Associates Degree or equivalent experience.
- Three years of experience in the secretarial field.
- Working knowledge of Microsoft Word, Excel and other office programs.
- Computer skills
- Perform a variety of duties to relieve supervisor of administrative details.
- Ability to organize and plan work based on own initiative or brief instruction in order to carry out the essential functions to achieve the goals of the Office of Buildings and Grounds.

Primary Duties and Responsibilities:
- Perform confidential and routine administrative assignments for the Director of Buildings and Grounds applying knowledge of the school district organization policies and procedures to ensure efficient operation of the Buildings and Grounds Office.
- Type letters and memoranda for supervisor's signature on own initiative or from general verbal instructions.
- Receive and screen visitors and direct them to proper person within the department or district according to the nature of their business.
- Accumulate data and maintain records and files of confidential and other data and prepare special reports pertinent to supervisor's responsibilities.
- Answer questions and make decisions based on precedent and policy.
- Answer telephone, receive and transmit messages, answer questions and transfer calls as required.
- Prepare resolutions for monthly school board agendas for the Buildings and Grounds Department. Prepare monthly school board agendas for the Buildings and Grounds Department.
- Ensure building permits are submitted for approval to the school board in a timely fashion.
- Assist in the preparation of annual budget and maintaining budget throughout the school year.
- Maintain record of petty cash.
- Compile, verify and record timecards and pay requests for all custodial and maintenance staff (50+).
- Verify and record availability of vacation, sick or personal leave and forward requests to payroll department for all Buildings and Grounds staff.
- Maintain confidential files for all Buildings and Grounds personnel.
- Review applications for substitute custodial positions and set-up interviews. Recommend hiring and discharge; discipline for substitute custodians; review performance and give input when substitutes apply for permanent positions.
- Represent Buildings and Grounds Department in interviews for substitute custodians upon supervisors request.
- Assign a group of substitute custodians to daily work schedules; keeping record of time worked and periodic evaluations on each substitute. Schedule training for all substitute custodians.
- Review "Summer Helper" applications (35+) and interview such for summer custodial work. Recommend hiring of candidates. Compile and verify pay request sheets weekly and forward to Payroll Department.
- Generate blanket purchase requisitions for Buildings and Grounds department for all buildings at the beginning of each school year to ensure invoices are paid in a timely fashion. Generate purchase requisitions throughout the school year also for any incoming invoices for repair and supplies for the department.
- Generate purchase requisitions for construction invoices and forward to Business Office for payment.
- Receive and process all utility and repair invoices for the school district.
- Receive phone calls daily for repairs throughout the school district. Contact electrician, carpenter, maintenance specialist or outside vendor for repair.
- Operate a variety of office equipment and computers.
- Order office supplies.
- Instruct or guide new or lesser experienced secretarial, clerical or custodial personnel.
- Any other duties as assigned by the Director of Buildings and Grounds.
