Company Overview: Join Nystrom & Associates' Hugo Clinic as aFront Office Associate and be the first point of contact for clients seeking mental healthcare services. Our clinic specializes in psychiatric evaluations, clinical social work, and family therapy, all aimed at assisting patients in our community facing personal, emotional, marriage, family, or psychological challenges. As a Front Office Associate, your role will be critical in creating a positive experience for our clients by offering warm and friendly support, registering and scheduling appointments, and acting as a liaison between our mental health professionals and patients.
Position Summary: As a Front Office Associate, you will play an integral role in the smooth operation of our clinic. Your responsibilities will include answering phones, cheerfully greeting clients, managing the registration and scheduling process, collecting co-pays, and maintaining effective communication between our mental health professionals and patients. Alongside your dedicated team of mental health professionals, you will actively listen to patients' needs and demonstrate empathy in every interaction.
Working Hours: This is a full-time position, and you will be required to work the following shift:
Monday to Thursday: 9:45 am - 6:15 pm, Fridays: 8:00 am - 4:30 pm
Eligible for increased shift differential for hours worked past 6 pm.
Key Responsibilities:
  • Answering phones and providing excellent customer service to clients.
  • Warmly greeting clients and ensuring a positive first impression.
  • Registering and scheduling appointments for clients.
  • Collecting co-pays and managing payment transactions.
  • Acting as a liaison between clients and mental health professionals.
  • Assisting with clinic opening and closing procedures.
  • Handling a high inbound call volume, including weekly outbound calls.
  • Performing administrative tasks, such as faxing, copying, and organizing documents.
  • Demonstrating basic knowledge of billing and insurance coverage.
  • Assisting with any additional projects assigned by the Administrative Lead or Manager.

Qualifications:
  • Excellent organizational skills and the ability to multitask effectively.
  • Proficiency in computer skills, particularly using Microsoft Office.
  • Strong customer service and interpersonal communication skills.
  • Previous front desk, receptionist, administrative assistant, or office experience preferred.
  • High School Diploma required.
  • An interest in psychology, counseling, behavioral sciences, social work, or healthcare is strongly preferred.

  • Expertise in providing high-quality customer service in a busy environment.
  • Ideal experience includes working as a barista or in a fast-paced retail setting.
  • De-escalation skills to handle challenging situations with clients.
  • Ideal experience includes working in childcare, as a nanny, in an educational setting, or previous mental health experience where expectations change every day, and de-escalation skills have been utilized.
