Job Description
Serve as the welcoming face of Optimum Re, greeting employees and guests with a consistently friendly demeanor. Act as the primary point of contact, offering support to all departments or directing inquiries to the appropriate personnel.
Responsibilities:
- Ensure daily coverage of the Front Desk from 8:00 am to 4:30 pm.
- Maintain a consistently organized and clean Front Desk area.
- Adhere to security procedures for guest access and visitor badge issuance.
- Professionally greet and assist office guests and employees.
- Respond promptly to inquiries via phone, email, or in person.
- Screen and direct phone calls efficiently.
- Monitor and manage the Front Desk Email inbox, Voicemail and Fax folder.
- Receives, sorts, and ensures prompt delivery of daily mail. Facilitates all outgoing mail (using USPS and Fedex)
- Take charge of ordering office supplies and managing inventory.
Other Responsibilities
- Coordinate office lunches and catering requests.
- Assist with travel arrangements as needed.
- Assists other administrative staff with overflow work (scanning, document formatting, and expense reports)
- Assist other departments with tasks as needed.
Requirements for the role:
- Two years experience as a Receptionist in a professional business office
- High School Diploma
Competencies:
- Excellent communication skills, both verbal and written
- Ensure that all business matters are handled discreetly
- Strong customer service orientation (internal and external customers)
- Basic to intermediate skills using Microsoft Office Suite (Word, Excel, Outlook)
- Organizational skills
- Attention to detail
