Patient Coordinator
Position Summary
This position is an exciting and unique opportunity for a full-time front office patient coordinator in a dermatology and aesthetics center in Scottsdale. Position Duties
The following clinical and administrative responsibilities include, but are not limited to:
- Greets patients in a friendly and professional manner.
- Gathers and/or validates all necessary demographic and insurance information for inclusion in the medical record and computer. If necessary, assists new patients in the completion of the registration forms.
- Enters all patient account information in the computer system as applicable.
- Provides all requested information and material to new or potential patients.
- Answers the telephone, screens calls, takes messages, and provides information. Enters all patient data possible on first phone call to capture data, including source of referrals.
- Schedules appointments through telephone calls, emails, website requests, and follow-up visits in a professional manner.
- Follows-up on “no-show” patients. Makes appropriate notations in the medical record of reason for no-show and reschedules the appointment if needed.
- Maintains the patient appointments and schedules, and follows office scheduling and rescheduling policies.
- Assists in monitoring the condition of the reception area and business office, ensuring it is neat and presents an appropriate image of the Practice.
- Makes reminder calls to all new patients and established patients scheduled for extended appointments, at least one day prior to the scheduled time.
- Collects fees for insurance co-pays and aesthetic services/products as appropriate and accurately enters data into the computer. Ensures insurance member is in contract with our Providers. Gives receipts to the patients at the end of each appointment.
- Discusses skincare product fees with patients in a soft and professional manner, becoming the “contact” person for the products when the Physician Assistant is not available.
- Enters rebate points from Alle, Aspire Galderma, and Evolus Rewards into the appropriate program, and redeems coupons for the practice. Serves as the contact for any patient questions related to rewards programs.
- Places aesthetic patients in exam rooms, cleanses patient’s face if applicable, and takes photographs for Physician Assistant as per photograph protocol.
- Keeps exam rooms and procedure rooms neat and clean.
- Assists with general practice marketing and social media posts.
- Performs other duties or projects as requested by the Operations Executive or Provider to ensure the smooth operation of the Practice.
Qualifications
- EMA Dermatology (EHR) experience preferred
- Strong organizational and time management skills
- Ability to thrive in a fast-paced environment
- Knowledge of HIPAA and OSHA regulations
- Excellent work ethic and positive attitude
- Extraordinary customer service abilities
- Proactive with Patient Care in order to anticipate and address problems before they occur
- Excellent communication skills
- Must have reliable transportation
