Job description

Function: The Front Desk Coordinator works directly with clients and volunteers at the main office, assesses client needs, supports volunteers, and participates in administrative duties associated with the Community Food Bank (CFB) and Gabrielle Giffords Resource Center (GGRC) operations.


Duties and Responsibilities:

  • Greets and assists all visitors who enter the building and offer them direction to resources, staff members, or other needs.
  • Answers phone calls and route callers to the appropriate recipients.
  • Ensures regular messaging updates are recorded on the Interactive Voice Response (IVR).
  • Receives and provides receipts for incoming cash and food donations.
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
  • Manages, cleans and organizes the Front Desk.
  • Stocks the copy rooms, and lounges.
  • Collects mail and secures it until mail is opened.
  • Maintains staff mailboxes and distributes mail.
  • Provides administrative support to teams as assigned.
  • Participates in team and organization-wide meetings by summarizing the work being done, goals being reached, areas for improvement, and areas of opportunity.
  • Performs other duties as assigned.

Knowledge, Skills and Abilities:

  • Knowledge of general Front Desk practices and procedures.
  • Skills in performing administrative tasks such as greeting and assisting visitors, answering the phone, securely handling cash, collecting and distributing staff mail.
  • Skills in using an Interactive Voice Response system or similar messaging system.
  • Ability to recognize and support team goals and create and maintain positive relationships.
  • Effective time management and organizational skills.
  • Strong customer service, communication, and listening skills.
  • Ability to work with people from diverse economic, social, and political backgrounds.
  • Ability to work a part-time shift, either Shift A or B:

Minimum Qualifications:

  • A high school diploma or equivalent.
  • One (1) year of experience in a fast-paced, complex work environment demonstrating organizational and follow-through skills.
  • Bilingual in English and Spanish.
  • Proficiency with Microsoft Office Suite, Office 365, and aptitude to learn other software platforms.
  • For company insurance purposes, at least 21 years of age; possess a current Arizona Driver’s License with a safe driving record.

Preferred Qualifications:

  • Two (2) years of experience in a fast-paced, complex work environment demonstrating organizational and follow-through skills.

Physical Requirements:

  • Medium Work ability to exert 50 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
