We are looking for a highly organized and outgoing individual for our Front Office Reception position at our Gurnee, Crystal Lake locations. This position is for Tuesday, Wednesday, Thursday and some Saturdays. This person will perform administrative functions such as scheduling appointments, handling cancellations, gathering required information and documents, and assisting patients with payment. The Front Office Receptionist is the first and last representative seen; this role ensures that all patients start and end their Concierge Medical experience with a positive interaction.
Job Duties and Responsibilities
General Duties: Oversee and manage all clinical and administrative functions within the office, including the upkeep of all receivable accounts. Become familiar with and ensure adherence to all QC Kinetix corporate policies, as well as to ensure adherence to all laws/regulations pertaining to the operations of a medical clinic.
Essential Functions:
- Responsible for opening and closing the clinic on a daily basis. Ensuring all opening and closing checklists are completed each day.
- Responsible for monitoring, maintaining and tracking daily statistics.
- Prepares and submits reports as required.
- Oversees reconciliation of daily deposit logs and preparation for bank deposits.
- Assists the team in problem resolution. Recommends solutions to the Practice Manager and escalates issues to the Practice Manager when appropriate.
- Displays exceptional customer service skills in responding to all inquiries from patients, outside agencies, and coworkers.
- Assists Medical Providers, Consultation Coordinator, and Medical Assistants with special projects and tasks as needed.
- Authorizes, coordinates, and monitors daily site activities such as supply ordering, IT, maintenance issues, phones, etc.
- Oversee and ensure supply inventory is adequately maintained and managed.
- Responsible for monitoring the clinical team in meeting demands of patient volumes and handling complaints regarding clinical staff.
- Maintains clinic facility and equipment as well as order office supplies. Responsible for clinic cleanliness and coordination of repairs and maintenance.
- Presents a positive, professional appearance and convey a professional demeanor in the performance of assigned duties.
- Responsible for following all facility, organization and department precautions and procedures in the performance of all job duties to ensure a safe work environment for self and others.
- Completes compliance requirements as needed.
- Back up all employees and roles in the office as necessary.
- Resolves patient concerns and staff issues to ensure quality patient service.
- Maintains strictest confidentiality.
- Performs other duties as assigned or requested.

Pay: $275.00 - $300.00 per day
