About this Job
The right candidate for this role enjoys working within a community of professionals and team members with a wide variety of skills and backgrounds with their day-to-day administrative support needs. This team member will work directly with management and other team members to ensure the timely processing, recording and integrity of companywide scheduling, filing, document processing and administration. This includes assisting with various aspects of the client experience process, including onboarding, client interactions and compliance needs. General Responsibilities:
- Reports directly to the Administration Manager, with accountability to the senior leadership team.
- Responsible for creating and maintaining positive internal and external relationships with staff and key stakeholders within the community.
- Work closely with management and other departments, exercising discretion while working with highly confidential information.
- Prioritizes work to meet deadlines.
- Answer incoming calls promptly, and practices excellent phone and email etiquette.
- Improve general workflows and processes to accommodate business growth and employee personal and professional development.
- Responds to internal and external customer inquiries within the customer’s timeline.
Administrative Assistant Responsibilities
- Responsible for all company scheduling for both internal and external meetings including:
- Managing multiple schedules for various professionals within the office
- Coordination with multiple parties to ensure client requests are timely scheduled
- Sending out appointment invites and zoom links
- Send confirmation requests via email and text applications
- Logging into meetings to ensure adherence to compact time schedules.
- Responsible for downloading, review for completeness and filing/distribution of incoming documents including but not limited to
- Adobe sign document management
- Portal downloads
- Incoming file management for client documents
- Assist the Admin Team with client administration activities to include:
- The timely preparation, distribution and collections of client engagement letters
- Assist with Key aspects of the electronic tax filing process.
- Schedule and assist with coordination of all employee engagement activities for the company.
- Schedule and assist with coordination of all job fairs and talent acquisition activities for the company.
- Coordinate new-hire orientation and logistics, including scheduling, materials, and checklists for all required tasks.
- Assist the Administration Manager with various confidential tasks as needed.
- Assist with client inquiries to ensure they are given to appropriate team leaders.
- Assist with confidential information relating to both internal matters to the company and client specific information.
Skills & Knowledge:
- Excellent verbal and written communication skills.
- Maintains confidentiality, intercedes with conflict resolution when/if it arises, brings potential issues to supervisor as deemed appropriate.
- Possessing Critical thinking skills is a requirement.
- Customer Service experience required.
- Ability to work in a fast-paced environment and adapt to changing needs of department.
- Possess strong internal relationship building skills.
- Excellent problem solving and people skills are required.
- Must be able to work independently and in a team.
- High level of professionalism.
- Enthusiastic and positive attitude.
- Proficient in Microsoft Office and Excel.
- Detail Orientated.
Job Types: Full-time, Part-time
Pay: $15.00 - $17.00 per hour
Expected hours: 25 – 40 per week
