Job Summary:
The Finance & Office Administrator is a diligent and competent individual that manages the company''s financial transactions and records. The successful candidate will be responsible for managing and maintaining financial operations, recordkeeping, and providing support to the finance team. They will be highly organized and detail-oriented with excellent analytical skills for monitoring financial reports and ensuring compliance. The Finance & Office Administrator will be responsible for maintaining accurate records of financial transactions, updating databases, and performing other administrative tasks when required.
In addition to the financial duties, the Finance & Office Administrator will be responsible for overseeing the office in Spring, TX, ensuring it runs smoothly. This includes providing reliable support, greeting visitors, and managing the administrative functions and activities of the office
Summary of essential job functions:
Financial Responsibilities:
- Prepare balance sheets, profit and loss statements, and other financial reports
- Full cycle accounting: Responsible for A/R and A/P, billable expenses, and payroll reporting
- Solid understanding of GAAP, revenue recognition principal, accrual accounting
- Administration and documentation of all salaries, wages, bonuses, deductions (payroll taxes, garnishments, social security, benefits), and workers compensation of all employees.
- Administration of the company credit card program
- Filing 1096/1099
- Prepares and interprets financial statements, GL reconciliation, bank reconciliation
- Complete month-end journal entries, accruals, intercompany transactions
- Process domestic and international wires
- Ensuring SOX compliance is maintained (full balance sheet reconciliations/journal approval etc)
- Ensuring all deadlines for group reporting are met
- Ensure debt collection is within the agreed terms, and any disputes are resolved as a priority.
Office responsibilities:
• Maintain relationships with office vendors and business partners
• Primary point person for a variety of matters like maintenance and operations, occupancy and space management
• Keeping the office space clean, functional, and safe. This includes managing inbound and outbound mail, badge management, conference room and break room management, identifying when maintenance should be performed, and making safety recommendations
Skills & experience:
- At least 3 years experience in a similar role in fast paced environment
- Associates Degree required or Certified Bookkeeper
- A high energy, proactive approach
- Well organized and comfortable with financial data
- Highly competent and technically skilled accountant
- Confident communicator, comfortable in dealing with all colleagues
- Ability to work across International offices
- Hands on approach and the ability to produce accurate and high quality work to deadlines
- Excel skills to include pivot tables, INDEX, VLOOKUP, SUMIF
- Ability to manage a varied workload, handle pressure and organize and prioritize work for self and others
- Positive attitude, up-beat and committed to achieving business success – “can do, will do” attitude
- Good/advanced knowledge of Excel, plus ability to use other MS programs
