Summary/Objective:
The Field Operations Coordinator position provides Maintenance and Violations administrative support to the sites and managers. This role reports to the Director of Violations and HQS Compliance and is key supporting member of the maintenance operation.
Classification: Non-exempt (overtime eligible)
HYBRID schedule- 3 Days in Office/2 Days work from home
Essential function/Responsibilities: duties include but are not limited to the following
Handles Vendor Track - Yardi work orders processing related to maintenance, certifications, violations, and emergency repairs
Remediate & certify HPD/HQS violations daily via eCert or paper and mail.
Sends out daily email alerts to sites regarding HPD Complaint & HPD/HQS Violations
Open work orders via Yardi and secure violations back up to support correction for entire portfolio
Generate weekly HPD violations report & mold reports (class A,B & C) to track violations due and vendor access dates
Analyze and organize HPD Dismissals with sites and Jack Jaffa, including check request, opening work orders, meeting with sites, status updates, and providing inspection results
Coordinate with sites and vendors of all Fire Extinguisher testing, scheduling and inventory for the entire portfolio, maintain list and report weekly status
Lead on hotel reservations for displaced tenants as needed
Assists Managers with proposals, and supply orders
Obtain access dates & confirm appointments involving HPD Mold & Lead Violations with sites and vendors as needed
Support the Legal Department with back up documentation related to civil or hold over cases related to violations and work completion
Order and track non-union staff uniforms
Create REAC Inspections binders, to include reporting
Participates in HPD Annual Bedbug Filing with HPD as needed (NYC sites only)
Distributes and tracks HPD Annual Safety mailing notices (NYC sites only)
Participates in Local Law 33 Energy Grade posting project as needed (NYC sites only)
Assist in HPD Annual Property Registrations (NYC sites only)
Requirements:
Minimum 2-3 years affordable housing related experience, preferred
Experience in managing multiple tasks efficiently
Possess excellent verbal, writing and organizational skills
Ability to maintain a courteous and professional demeanor at all times
Ability to interact effectively with applicants, tenants and with all levels of staff and management
Proficiency with Microsoft Office Suite, particularly Word, Excel and Outlook
Yardi Voyager software experience preferred.
Bachelor's Degree required
Salary Range: $27.88 - 29.71 per hour
