Job description

Position Title: Facilities Manager

Department: Production

Reports to: Vice President, Production (VPP)

Classification: Full Time Exempt, 40 hour work week, typically M – F (some weekends as needed),

on site (no remote work)

Salary Range: $58 - $60,000 per year plus benefits (paid vacation, sick days, holidays, health, dental, vision, flex spending, life/disability insurance, 403B)


SUMMARY

The Facilities Manager, under the direction of the Assistant Technical and Facilities Director (ATFD) and Vice President of Production (VPP), manages and maintains Minnesota Opera’s (MNOP’s) campus of properties, including the Minnesota Opera Center, the Luminary Arts Center, and the Minnesota Opera Warehouse, along with its affiliated parking areas and grounds, to ensure a workspace that is safe and functional. In consultation with the ATFD, the Facilities Manager is responsible for negotiating contracts with service providers, inspecting and reporting on facilities and security monitoring, building maintenance and upkeep, and acts as a liaison with commercial contractors working on site. Key to the position is the ability to communicate and collaborate with all facets associated with MNOP’s operations. Duties are performed on a full-time basis with work generally happening from 7a – 3:30p, Monday through Friday, with opportunities for some schedule flexibility. May be called on after hours for emergency situations.

RESPONSIBILITIES

Include but are not limited to:

Facilities

· Prepare the Opera Center for daily operations which may include assessing building and equipment, posting of daily calls, sorting of mail, and distributing packages

· During working hours, serve as the first point of contact for facilities issues and incoming deliveries. Monitor emails, phone, and access control systems for notification and prioritize response as appropriate.

· Conduct regular inspections to monitor, maintain, and correct, the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots, and outdoor spaces belonging to MNOP. Communicate safety issues and facility disruptions to ATFD

· Keep up to date records and documentation of vendors, work completed, and standard operating procedures

· In collaboration with ATFD, schedule routine inspections and emergency repairs with outside vendors, ensuring work is completed efficiently and completely

· Recommend maintenance, mechanical, electrical and facility modifications to ATFD

· Ensure facilities meet government regulations and environmental, health, and security standards

· Maintain contact with appropriate state and city departments and understand public projects (road closures, sidewalk demolitions, etc.) that may affect MNOP properties either through service or noise disruption or noise

· Oversight of daily security for buildings and grounds

· Oversight of grounds maintenance and maintain basic landscaping such as tree trimming, weed removal, and lawn mowing

· Potential response to after-hour issues as scheduled and/or deemed necessary by the ATFD

· Works with ATFD on code compliance issues, accessibility improvement projects and other code related issues

· Purchase and replenish general building supplies as needed

· Other duties as assigned


Management

· Read rehearsal and show reports, daily schedules, weekly company schedule and company calendars. In consultation with the ATFD, follow up on appropriate notes

· Attend production and facilities team meetings, contributing ongoing updates on facilities projects

· Serve on the MNOP Safety Committee, contributing operational knowledge of life safety equipment and how it operates in emergency and drill scenarios, building and resource layout, and facilities related emergency preparations

· Participate in new employee on boarding, training employees on building features, access and security practices

· In collaboration with the VPP and ATFD manages and reviews service contracts, develop and maintain facilities budgets

· In collaboration with the ATFD prepare, submit, and track invoices and credit card charges

· Other duties as assigned

· In collaboration with ATFD assist in the development of production department vendor analysis tracking as it pertains to MNOP’s EDI goals

General

· Approach and carry out duties, as designated above, with a positive attitude

· Function in a professional and collegial manner when collaborating with all opera personnel, professional creative teams, staff, management and other guest artists

· Represent Minnesota Opera and build positive relationships on its behalf within the profession and with others as appropriate

· Continue professional development by staying up to date with the latest technologies and best practices within the industry

· Follow procedures and policies of the Minnesota Opera as written in the employee handbook

· Give support and show appreciation to the Board of Directors, patrons, and other volunteers and supporters of Minnesota Opera

· Maintain complete knowledge of Minnesota Opera’s Safety, Health, and Emergency Action Handbook, including procedures for accidents and injuries

KNOWLEDGE AND SKILLS:

· Excellent judgment and analytical abilities

· Working knowledge with the Microsoft Office 365 Suite of products

· Understanding of OSHA and other regulations

· Outstanding communication skills with the ability to collaborate with a variety of colleagues from performers to management

· Ability to work and think independently, a motivated self-starter who also works well in a larger team

WORK CONDITIONS:

  • Ability to utilize and troubleshoot various building, tools, repair, and maintenance equipment
  • Ability to operate a computer keyboard, mouse, and to handle other office equipment
  • Ability to work indoors and outdoors in all types of weather
  • Ability to utilize snow removal and lawn care equipment and resources
  • Ability to position oneself in a stooping, kneeling, or crouching manner
  • Ability to ascend/descend ladders and personnel lifts, working at height for general maintenance
  • Ability to work in confined spaces
  • Ability to consistently lift and move materials or equipment up to 50 lbs
  • Ability and licensing to drive personal cars, pickup trucks, and small box trucks
  • Ability to work evenings and weekends with advanced scheduling
