Summary:
Responsible for managing the overall direction and day-to-day utilities, pest and Waste issues for Aaron's stores and distribution centers. Works closely with outside vendors, store operations, lease administration, and the Real Estate team to maintain the facilities and meet lease obligations.
Duties and Responsibilities:
- Manage the overall direction and day-to-day utilities, pest, and Waste issues at Aaron's locations to ensure services are being performed to specifications.
- Primary Aaron's liaison with our Utility Management Vendor. Includes setting up, closing out utility accounts, and investigating utility disconnects and loss of service.
- Will act as the first point of contact for all work order management activities, which entails properly handling escalations from Aaron's locations and/or vendors, thoroughly reviewing and approving quotes, and invoices, managing warranty claims, and ensuring proper close out of work orders if applicable. Processes invoices and ensures proper cost center coding.
- Upon escalation, work with Aaron's locations and possibly Landlords as needed on utilities, pest and Waste requests and partner with the Landlord Coordinator, Legal and Lease Administration teams on any invoices that need to be billed back to Landlord.
- Assist with overall utilities, pest, and Waste vendor management, which includes developing performance reporting and scorecards, frequent business reviews to discuss performance, and holding vendors accountable to service level agreements and scopes of work. Trains vendors on work order and billing procedures.
- Maintains files on work orders, proposals, and department files. Creates vendor files and checks accuracy on completed paperwork submitted by vendors.
- Assist with process and procedure training.
- Other duties as assigned in the department.
- Education and Experience: Associate degree from a two-year college, preferred. High school diploma and general education degree (GED) required. Equivalence of education and experience will be considered.
- 2+ years of relevant job experience in an analytical or financial capacity supporting utility operations, facilities, or another relevant field.
- Strong knowledge of Microsoft Office package (with emphasis on MS Excel).
Required Skills and Competencies:
- Ability to handle large amounts of data to create meaningful reporting and analysis to support optimal decision making.
- Proven ability to create and manage customer requests, follow-up and timelines.
- General understanding of basic accounting principles (work orders, invoicing, approvals, etc.)
- Ability to interact with service providers, Landlords, and internal customers in a professional manner.
- Must be able to communicate effectively, be customer service focused, and well organized.
