The Facilities Coordinator will work closely with the Facilities Manager to ensure all facilities in all markets are in proper operating condition and meet all code compliance and medical compliance per local, state, and federal regulations. They will also be supporting DeNovo project management and ongoing facilities maintenance.
What You’ll Do
Facilities, On-going
- Manage internal and external resources for ongoing maintenance to maintain the best patient care and office functionality.
- Primary contact and owns all Service Channel communication between offices and vendors.
- Develop and execute regular maintenance schedules for offices in all regions.
- Serve as point of contact and manager of all facilities and equipment vendors; create regular maintenance schedule with vendors.
- Take charge of facilities' work order process and scheduling for clinic issues, including providing weekly updates to the Executive Vice President of Operations on all outstanding orders.
- Manage regular bidding process with key vendors to negotiate pricing with supply vendors to ensure JDO is receiving the best pricing on all supplies.
- Able to effectively create partnerships with operational leadership to support all clinic offices and staff successfully.
- Build and manage facilities master project spreadsheet, ensuring effective project timing and cost-to-budget management.
- Manage vendor schedules to ensure efficient repairs/deliveries for clinics.

- Identify key metrics that drive improved patient and employee experience for future growth and processes.
- And all job duties that the supervisor and leadership assigns.
DeNovo (New Office Build-Outs)
- Provide assistance in DeNovo set-up.
- Responsible for maintaining DeNovo project status spreadsheets – creating and updating the spreadsheet and ensuring each JDO department is on target with assigned tasks.
- Responsible for ordering furniture, office supplies, and other items (as needed) for DeNovo’s.
- Provide updated DeNovo spreadsheet each week while DeNovo’s are in progress.
- Lead weekly meetings, when appropriate, to ensure DeNovo projects are on track.
Who We’re Looking For
- Someone with 1+ years’ experience in multi-site maintenance in the Healthcare industry, preferably in the Dental field.
- Someone who has at least 1 year of Service Channel experience. (Preferred)
- Someone who has a working knowledge of fire and building codes and Health and Safety Compliance
- A motivational leader who understands the accountability for completing assignments and meeting or beating deadlines while maintaining thorough attention to detail and accuracy.
- Someone with exceptional organizational skills and thorough attention to detail
- Someone who effectively communicates at all levels with internal and external customers.
- Someone with a sense of urgency and the ability to multi-task in a fast-paced environment.
- Someone who is a team player but can also self-manage and independently set expectations.

Position Type/Expected Hours of Work
This position regularly requires long hours and frequent overnight and/or weekend work.
Travel
Travel (25%-50%) to the primarily local during the business day, although some projects may require more out-of-the-area and overnight travel.

Pay: $50,000.00 - $55,000.00 per year
