Job purpose
Responsible for supporting International customer accounts, including orders, export licensing, shipments, and day-to-day customer contact and account administration. Ensure compliance with all US Government export regulations related to firearms, parts, components, accessories, and attachments.
Duties and responsibilities
Knowledgeable about compliance with all US export regulations concerning international commerce of firearms, spare parts, components, and accessories; including the Export Administration Regulations (EAR), International Traffic in Arms Regulations (ITAR), Foreign Trade Regulations (FTR), Office of Foreign Asset Control (OFAC), US Customs and Border Patrol (CBP) Regulations, Bureau of Alcohol, Tobacco, Firearms & Explosives (ATF) Regulations, and Foreign Corrupt Practices Act (FCPA) Regulations.
- Must keep current on changes in regulations pertaining to the company’s business.
Responsible for supporting international customer accounts, including all phases of sales administration as detailed below:
- Order review and acceptance, including order entry and order management, interaction with Export customers including compliance with contractual terms and conditions.
- Compliance with internal vetting procedures for international transactions, and assistance with obtaining required documentation.
- Preparation of export license applications in accordance with all USG procedures and guidelines, and subsequent compliance with license conditions and provisos.
- Communication with customers on order status, fulfillment, documentation, product availability, pricing information, and special model coordination as needed.
- Work closely with internal personnel and other sales teams to maximize order fulfillment and attain company sales objectives.
- Create export documentation, including invoices, export declarations (AES/EEI), packing lists, proforma invoices, shipper’s letters of instruction (SLI), etc. Support maintaining export records and files in accordance with US export regulatory requirements.
- Coordinate shipment details and logistics with internal departments and externally with freight forwarders and carriers.
- Request and track customer payments, including coordinating with Finance on incoming payments, customer account holds, and Letter of Credit review and compliance.
- Create or support management with information for internal reports regarding sales, quotes, forecasts, as needed.
- Become knowledgeable of product lines.
- Coordinate and support foreign distributors during visits.
- Participate in LEAN events as requested and look for ways to reduce waste and improve efficiency.
- Ability to communicate effectively with international and LE distributors, customers, freight forwarders, as well as internal company departments.
- Provide support and assistance to sales and marketing management team as needed.
- Coordinate planning and logistics for International Trade Shows, including sample products, shipment preparation, special documentation, and timely movement of goods to and from event location.
- May be required to travel to Conferences, Events & Trade Shows.
Qualifications
- Associates degree or equivalent related job training and experience.
- Strong computer skills required – experience in MS Office and Outlook email required.
- Minimum 5 years of inside sales and/or high-level administrative experience.
- Background preferred in EAR regulations and international shipment requirements.
- Excellent organizational skills.
- Strong interpersonal and communication skills.
- Must be detail oriented and able to work independently to meet sales goals.
- Team player.
- Foreign language skills a plus.
Working conditions
Office environment within a manufacturing facility.
Physical requirements
- Must be able to move, lift, transport items at minimum of 20 lbs.
- Must be able to consistently operate a computer/office productivity machinery i.e., calculator, copy machine, printer for a minimum of 6 hours per day.
- Must be able to remain stationary for a minimum of 2 hours per day.
- Must be able to detect and correct errors on paper/screens.
- Must be able to communicate and exchange information with other members of the organization verbally, nonverbally, and in writing.
- Must be able to move throughout the facility and office area to access file cabinets, office equipment, plant machinery, and other office areas as needed.
