Job Responsibilities
Develops training and educates staff on state statues, regulations and procedures regarding the Adoption Registry, Original Birth Certificate (OBC), legitimations, gender reassignment and paternity findings set forth by state law.
- Coordinates the promotion and dissemination of information about the Adoption Registry and OBC.
- Develops brochures, instructions and procedures necessary to operate the registry and OBC.
- Serves as a representative for the Department at Adoption Council meetings.
- Serves as liaison for the Adoption Registry program to other state agencies, organizations, legislative bodies and attorneys.
- Engaged in reviewing confidential information and eligibility standards for all requests including, adoptions, paternity, legitimations and gender reassignment.
Develops and implements the standards necessary to ensure quality control over the matches.
- Controls and evaluates the data matching routines.
- Processes customers’ requests in regards to adoption issues.
- Interacts with customers via phone regarding complex inquiries or unique situations.
Serves as working supervisor:
- Assigns and reviews work
- Provides guidance and training to assigned staff
- Counsels staff regarding work performance
- Reassigns staff to meet day-to-day operating needs
- Establishes annual goals and objectives
- Approves time off
- Prepares and signs performance evaluations
Serves as liaison with Information Technology regarding system support.
- Interacts with management regarding web modifications pertaining to adoption registry, legitimations, gender reassignment and paternity.
Develops and implements policies and procedures relevant to the Adoption Registry Program.
Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
Minimum Qualifications
Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in business or public administration.
Requires two years of responsible administrative experience in a public or business organization.
Preferred Qualifications
Two years’ experience in vital records management.
Working knowledge of a variety of agency and Vital Records rules and regulations.
Two years’ experience analyzing administrative problems and adopting an effective course of action.
Two years’ experience interpreting vital records regulations and policies.
One year experience working with Word and spreadsheet software.
Work Hours: Monday - Friday 8:30am - 5:00pm
