Job Summary:

The Executive Coordinator provides high-level, strategic administrative support to the Group Vice President and other department senior leadership as needed. The Executive Coordinator handles a wide range of tasks involving highly confidential and critical compa-ny information and supports efforts to ensure best practices, smooth business operations, and achievement of department objectives and goals. The Executive Coordinator will own critical strategic initiatives that will allow the Sr. Executive Team to be fully immersed in leading the organization, ensuring the strategy propels the Organization forward.

Responsibilities:
Key Accountabilities:
  • Perform standard, advanced, and confidential administrative duties to support VP and Sr. Department Executives.
  • Responsible for VP & Sr. department leaders’ calendar management, organization, and scheduling as needed.
  • Plans outings, luncheons, meetings, off-sites, and other events for the department.
  • Lead planning and coordination of the annual President’s Council Trip, a large-scale off-site meeting and event.
  • Arranges travel schedule and reservations as needed. May prepare T&E reports as requested.
  • Facilitate executive new hire orientation/onboarding by coordinating space, training, and equipment procurement as necessary.
  • Responsible for the Department Recognition and Appreciation Program; maintaining the Anniversary / Retirement calendar, ordering gifts, etc.
  • Assign office space appropriate to the job level and structure within the department, at the discretion of the VP.
  • Responsible for maintaining Department calendars.
  • Provide general administrative support to VP and Sr. Department Executives on department projects, and other related responsibilities as needed.
  • Lead NoA’s Customer Experience Program and lab space.
  • Coordinate NoA’s Annual HemoCell Summitt.
  • Coordinate activities related to NoA’s event planning.
  • Organize Annual Leadership Forum.
  • Lead OPEX travel expense reduction strategy in coordination with Finance.
  • Lead strategic decentralization of NoA.
  • Manager Werfen Customer Training department interactions with NoA leadership.
  • Other Duties as Required.

Qualifications:
Minimum Knowledge & Experience required for the position:
  • Education: High School Diploma or GED
  • Experience: 12 years of related administrative experience in a corporate environment

Skills & Capabilities:
  • Strategic Thinker, able to lead and execute strategy
  • High level of Business Acumen and a Subject Matter Expert in Executive Administration
  • Experience with international business a plus
  • Ability to communicate across C-level
  • Experience with budget management
  • Excellent active listening skills
Travel requirements:
Approximately 5% of the time for meetings as required by the VP.
