Executive Assistant to Non-Profit CEO
Community Support Services is seeking an experienced Executive Assistant to support the CEO and agency operations. The ideal candidate must be flexible, creative, results-driven and possess strong interpersonal and communication skills. In addition, the Executive Assistant must demonstrate a high level of discretion, tact, and diplomacy in carrying out their responsibilities.
Education and Experience:
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent verbal and written communication skills and the ability to effectively communicate one on one and to a group.
- Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
- Ability to prioritize tasks, show good judgment in seeking guidance, work independently, and meet deadlines with minimal oversight.
- Demonstrate proactive approach to problem solving, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
- Ability to learn processes quickly and efficiently.
- Proficient in Google Suite (Sheets, Docs, Forms, Gmail, Google Meet) or Microsoft Office (Excel and Word) and social media platforms.
- Bachelor's degree and 3+ years of executive level administrative and/or project management support experience.
Responsibilities Include:
- Providing administrative functions in support of the CEO such as writing/editing correspondence and documents, organizing meetings and recording meeting minutes, and maintaining social media accounts.
- Assisting with grant writing and grant administration including: writing and editing grant applications, filing required documents to ensure grant compliance, communicating with stakeholders, tracking grant progress and managing deadlines.
- Compiling reports from various sources of data which requires a proficient understanding of excel and spreadsheet functionality.
- Assisting the Director of Operations with the following: Submitting and tracking auto insurance claims for a fleet of over 100 vehicles; Maintaining tax exemption filings for the agency including non-profit tax exempt status, sales tax exemption, and property tax exemptions; Filing rental licenses and maintaining leases for over 60 residential and commercial properties.
- Assisting the Director of Community Relations with the following: Maintaining the donor database in collaboration with the finance department; Assisting with internal and external publications for print, digital communications, agency website and social media sites; Planning and attending agency events and coordinating with volunteers as needed.
- Project management of executive office-related special projects and activities. Supporting the efficient execution of key agency initiatives, programs, and projects, as assigned. Collaborate internally and provide support with projects and tasks within the organization, as delegated.
