POSITION SUMMARY:
Provide high-level executive support by relieving executive management of administrative detail and coordinating workflow to ensure progress to deadlines. Work with all internal management and staff levels to coordinate administrative functions for the Executive Vice Presidents (EVPs) to support operational excellence. Provide direction and supervision for Group Coordinators to ensure communication between support and business functions.
MAJOR RESPONSIBILITIES:
- Work with Executive Vice Presidents (EVPs) to complete a variety of administrative tasks, including but not limited to managing an active calendar of appointments, completing expense reports, composing and preparing correspondence that is sometimes confidential, and managing special projects for the Executive, including those that may have organizational impact.
- Review and prioritize incoming documents, mail, calls, and visitors for EVPs.
- Schedule job site visits and various meetings for EVPs.
- Check deadlines on incoming requests and put preliminary work into action.
- Review and summarize miscellaneous reports and documents.
- Assist with the preparation of presentation materials.
- Process invoices and check requests for the executive team.
- Manage Barrington Operations' monthly donation budget reports.
- Assist in business planning and quarterly financial projections.
- Prepare monthly Barrington Business Unit operations meeting agenda and collect supporting documentation, including incident summary report updates.
- Coordinate monthly Barrington Loop meetings.
- Partner/Support Group Coordinators to manage project coordinator workloads.
- Work with Group Coordinators to provide updated project management staffing schedules.
- Assist Group Coordinators with performance reviews of Project Coordinators.
- Coordinate and run monthly Barrington coordinator meetings.
- Manage Barrington reception desk coverage schedule.
- Assist in the coordination of Barrington office space and occupancy.
- Partner with HR to coordinate employee activities in the Barrington office.
- Partner with DE&I to coordinate DE&I initiatives in the Barrington office.
- Experienced in managing a wide range of executive support.
- Demonstrated ability to manage staff groups and major projects or initiatives.
- Ability to work independently with little to no supervision.
- Must be exceedingly well organized and maintain a realistic balance among multiple projects.
- Strong decision-making skills and attention to detail.
