Location: This is a hybrid position based at our Emeryville HQ with expectations of in-office time minimum three days a week.
Mission: The Executive Assistant Team Lead supports the GM of the Clif Bar business unit as we move through our next exciting chapter. This person will play an impactful role in representing Clif Bar and Mondelez by applying their years of experience, knowledge, and ways of working. The Clif Bar administrative team reports into this role (with a dotted line into their respective executive) as we believe this structure incentivizes knowledge sharing, efficient communication, workload balancing, and teamwork while prioritizing individual career development.
Responsibilities & Outcomes:
GM Support Responsibilities:
  • Manage calendar, scheduling, and provide proactive support in a fast paced, fluid environment
  • Complete critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the GM's ability to effectively lead the company
  • Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
  • Prioritize and flag email, and manage correspondence while providing timeliness and care
  • Brief and prepare GM for important meetings and presentations by compiling and analyzing data, assisting with research and preparing summaries, agendas and reports
  • Coordinate and manage travel arrangements (domestic & international), itineraries, and ensure GM is updated at all times
  • Collaborate and engage with internal and external stakeholders while exemplifying Clif Bar values
  • Prepare expense reports, process invoices, and manage other required documentation
  • Support processes and projects that require cross functional coordination and information sharing
  • Provide a bridge for smooth communication between the GM''s office and internal departments; demonstrating leadership to maintain credibility, trust, and support with senior management staff
  • Work closely and effectively with the GM to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the GM updated

Team Lead Responsibilities:
  • Manage 2 direct reports: Executive Assistant and Front Desk Administrator
  • Establish and iterate on EA team mission, vision, and goals
  • Support EA effectiveness and successful development of their job responsibilities through dynamic coaching, mentorship, and advocacy, varying across the needs of each direct report; communicate performance expectations through consolidation, synthesis, and delivery of feedback during our performance review cycles
  • Collaborate with the Leadership team reporting into the GM; align and execute top priorities across the organization
  • Identify opportunities for team-wide load balancing, identify trends and recommend systemic improvements
  • Lead EA team meetings, performance, compensation calibration, recruiting and hiring processes, and other team building programs
  • Establish and maintain healthy relationships with cross-functional business partners (Finance, HR, Recruiting, Legal) in support of team programs and goals
  • Manage coverage of the front desk which will include on-site presence

What you will bring:
A desire to drive your future and accelerate your career and the following experience and knowledge:
  • 5+ years of experience as an Executive Assistant supporting C-Level executives required, previous experience leading a team is a plus
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Purchase order systems knowledge (SAP a plus)
  • Ability to communicate effectively and professionally
  • Flexible hours as dictated by the needs of business for leadership support, events, projects and meetings

The anticipated base salary range for this position is $80,000 to $115,000; the exact salary depends on several factors such as experience, skills, education, and budget. The salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a bonus program with possibility for overachievement based on performance and company results. What you need to know about this position: We are looking for an EA Team Lead who has people management experience, exceptional operational experience, and someone with a can-do attitude who's passionate about leading a great team, supporting our Clif Bar GM and working with an incredible group of people.

Travel requirements: 10% travel per year
Work schedule: Monday through Friday from 9am to 5pm local time with some time zone flexibility.
Within Country Relocation support available and for candidates voluntarily moving internationally some minimal support is offered through our Volunteer International Transfer Policy
