Our client is an exciting and successful software start-up client in the automotive industry looking for a highly organized, efficient Executive Assistant to join the team in their downtown NYC office. This is an Exempt Hybrid position supporting the CEO and team members when needed. Candidate will be in the office Tuesday, Wednesday and Thursday and work from home on Monday and Friday.

The ideal candidate will have excellent communication skills, strong attention to detail, and the ability to manage multiple tasks and priorities effectively.
Responsibilities:
· Coordinate and manage schedules for the CEO ensuring efficient use of their time, schedule and confirm appointments, meetings, and conference calls and resolve scheduling conflicts and prioritize commitments as needed.
· Act as a liaison between the CEO and internal/external stakeholders, manage and prioritize incoming correspondence, including emails, phone calls, and messages.
· Draft and edit correspondence, reports, and presentations on behalf of the executives.
· Organize and coordinate meetings, including preparing agendas, materials, logistics and take meeting minutes and distribute them to relevant parties.
· Assist in planning and executing events, such as conferences and team off-sites.
· Coordinate travel arrangements for the CEO and relevant executives, including flights, accommodations, and transportation, prepare and organize travel itineraries and necessary documentation
· Maintain and update executive contact lists and organizational charts.
· Assist with expense reporting and budget tracking for executives.
· Perform ad-hoc administrative tasks as needed to support the executives.
· Must be in-office at HQ in New York City 3 days a week (Tuesday Wednesday and Thursday).
Skills and Requirements:
· Proven experience as an Executive Assistant or similar role, supporting multiple executives.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Slides).
- Ability to handle sensitive and confidential information with discretion.
- Ability to work independently and as part of a team.
- Flexibility to adapt to changing priorities and demands.
- BA or BS Degree.
