Job Description
The Executive Assistant is responsible for providing administrative support to the organization's executives. The key responsibilities of an Executive Assistant may include:
- Identifying opportunities for process and office management improvements and designing and implementing new systems.
- Professionally greeting visitors and providing them with the necessary information.
- Answering phone calls and directing callers to the appropriate party.
- Processing, sorting, and routing incoming and outgoing mail to compliant standards.
- Coordinating executive travel arrangements, including flights, hotels, and ground transportation.
- Monitoring and managing inventory of office supplies; ordering and distributing office supplies as necessary.
- Scheduling appointments and meetings.
- Maintaining client and prospect business flow and pipeline, including tracking, managing all client and account maintenance next steps, and updating and sorting files accurately.
- Ensuring all vendor and disclosure materials are up-to-date and compliant.
- Handling meeting prep for advisors, including paperwork and set-up of the conference room.
- Coordinates CEO calendar and social media. Assists CEO in having a home-life balance.
- Works closely with CEO to review and triage emails, texts, social media messages, etc.
- Aides CEO in non-profit work.
- Performing administrative support tasks, including drafting and proofreading correspondence, conducting research, and creating reports.
