Volt is immediately hiring for Executive Assistant (Hybrid) in BROOMFIELD, Colorado
As an Executive Assistant(Hybrid) you will:
• Support four senior HR leaders (VPs & SVPs)
• Provide calendar management, book travel arrangements, transportation and ad-hoc administrative requests
• Work with team and other EAs to lead and support leadership and department meetings and events: calendaring and conference room set up, meals as needed, agenda and pre-read collection and delivery, leverage Teams for videoconference meetings
• Manage Travel & Expenses: submit expense reports after each business trip; or at minimum, once per month using Concur Travel & Expense management in conjunction with Citi
• Coordination of budget preparation, and to monitor department budget spending status, if requested
• Management of Purchase Order Administration to execute invoices
• Backup talent acquisition coordination: interview scheduling, offer letters, event coordination, candidate travel and expense reimbursement
• Coordinate virtual or in person meeting set up for large-scale employee sessions (i.e., learning, talent, rewards related sessions)
• Assist with reporting & support with talent data updates to aide in talent cycle (i.e., talent profiles)
• Manage the coordination of power point documents and formatting
• Coordination of content updates and document uploads into employee self-service tool
• Manage assigned business related and office specific projects with minimal supervision
o Point of contact for department mail
o Set up new vendor and request purchase orders as needed.
o Manage office supplies and space.
About You:
• Associate degree and minimum 7 years relevant experience
• Strong skillset in Microsoft Word, Excel, PowerPoint, and Outlook
• Working knowledge and usage of digital platforms (Workplace)
• Knowledge of SAP, Concur and One Buy as a plus
• Experience in working in high change environments, with demonstrated ability to maintain resilience
• Ability to multi-task, prioritize work assignments and resourceful in finding answers / building solutions
• Empowered by finding new solutions and continuous improvement
• Communicative approach in keeping stakeholders apprised of key work deliverables
• Excellent communication skills with the ability to interact & collaborate effectively with others
• Displays business acumen that supports Microsoft Office relied communications
• Display professional behavior and maintain confidentiality and discretion
• Speed and decisiveness to make the right moves in high-pressure situations
• Big Picture thinking to anticipate and detect problems and opportunities within situations
Duration: 6-month Contract
Pay Rate: $32.00- $36.00/hr.
*Pay range offered to a successful candidate will be based on several factors, including the candidate's education, work experience, work location, specific job duties, certifications, etc.
