Description
Position Tile: Executive Assistant (EA)
Openhouse seeks a highly organized and skilled Executive Assistant to provide a wide variety of administrative and clerical support for the executive director. Responsibilities will involve exposure to sensitive information and require considerable use of tact, diplomacy, discretion and judgment. The ideal candidate will have excellent verbal and written communication skills as well as be highly organized.

Position Summary:
The Executive Assistant (EA) will be responsible for all aspects relating to support of the Executive Director (ED). The EA will assume responsibility for special projects as assigned; prepare materials for Board for meetings; attend Board meetings other high-level meetings to transcribe and distribute minutes and follow up on pending items as necessary. This is a full-time (1.0 FTE) non-exempt benefited position and reports to the Executive Director.
Compensation: Compensation is commensurate with experience in the range of $26.44-$33.65 per hour (which translates to $55,000-$70,000 annually). The EA is a full-time non-exempt position with the option to work from home one day per week. Openhouse offers a dynamic, vibrant, collaborative and supportive work environment. Requirements
Essential functions of position:

  • Overall coordination of the ED's calendar, including coordinating meetings, agendas, conference calls, travel and other logistics
  • Compose and prepare correspondence, presentation materials and other forms of communications.
  • Meeting preparation including co-creating agendas, communicating with attendees, many of whom are busy and difficult to get a hold of (must have tactful approach).
  • Organize, produce and send out all information for Board of Director bi-monthly meetings per by-laws.
  • Attend and take notes at Board of Director bi-monthly meetings.
  • Research, prioritize, maintain multiple timelines and follow up on incoming issues from a variety of sources; addressing concerns on behalf of ED and senior management, including those of a sensitive / confidential nature.
  • Retreat/meeting coordination and logistics (ordering food, working with ops for set-up and technical needs).
  • Determine appropriate course of action, referral, or response.
  • Other duties as assigned by the Executive Director.

Experience and Skills
  • Preferred, at least two years of experience as an executive secretary or support staff to CEO/Executive Director with non-profit experience a plus.
  • Excellent attention to detail, focus and ability shift priorities quickly.
  • Excellent written, proofreading and verbal communication skills.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and Adobe Acrobat.
  • Experience and knowledge of basic office equipment, such as but not limited to: computers, printers, scanners, fax, phones, mail system and copiers.
  • Strong interpersonal and organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Experience working with interdisciplinary teams.
  • Able to recognize and affirm-and/or willingness to learn-that LGBTQ older adults live at intersections of race, ethnicity, class, culture, HIV status, sexual orientation, gender, gender identity, spirituality, and ability.
  • Understanding of-and commitment to-social justice, and a desire to support and advance a personal, as well as an organizational, culture of diversity, equity, and inclusion.
  • Active, informed, and engaged participation in Openhouse's intentional trainings in anti-oppression and anti-racism work.

PHYSICAL REQUIREMENTS: Full COVID vaccination required. Physical skills and ability to perform work that requires sitting, walking, stooping, bending and lifting up to 15 pounds.
