Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to handle multiple tasks simultaneously. This is a full-time position based in our office.
Responsibilities:
- Perform various administrative tasks, including managing calendars, scheduling meetings, and making travel arrangements
- Coordinate and organize internal and external meetings, including preparing agendas and taking meeting minutes
- Assist with project coordination by tracking deadlines, updating project status reports, and ensuring timely completion of deliverables
- Act as a personal assistant to the executive team by handling correspondence, screening calls, and managing email communications
- Conduct data entry and maintain accurate records of important documents and files
- Provide general clerical support such as photocopying, scanning, and filing documents
- Maintain confidentiality of sensitive information and handle it with utmost discretion
- Assist with financial tasks, such as processing invoices and expense reports
Skills:
- Strong administrative skills with proficiency in data entry, project coordination, and personal assistant duties
- Excellent phone etiquette and professional communication skills
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) for clerical tasks
- Familiar with CRM software for basic customer service tasks
- Highly organized with the ability to prioritize tasks and meet deadlines
- Attention to detail and accuracy in maintaining records and documents
- Ability to work independently with minimal supervision
- Strong problem-solving skills and ability to handle confidential information
