Position Summary
Ecology Auto Parts, Inc. is seeking a dynamic and organized Executive Assistant to provide high-level administrative support to our executive team. The ideal candidate will possess exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced environment. This role involves managing executive schedules, coordinating meetings, handling confidential information, and contributing to the overall efficiency of the organization.
Responsibilities
Executive Support:
- Manage and coordinate the executive team's calendars, appointments, and travel arrangements.
- Prepare and organize documents, reports, and presentations for executive meetings.
Communication:
- Act as the primary point of contact between executives and internal/external stakeholders.
- Draft, edit, and proofread correspondence, emails, and other communications.
Meeting Coordination:
- Schedule and organize meetings, conferences, and appointments for the executive team.
- Prepare meeting agendas, take minutes, and follow up on action items.
Information Management:
- Maintain confidentiality and handle sensitive information with discretion.
- Organize and maintain electronic and paper files, ensuring efficient retrieval of documents.
Collaboration:
- Collaborate with other departments to facilitate effective communication and workflow.
- Assist in special projects and initiatives as needed.
Qualifications/Knowledge/Critical Skills
- Proven experience as an Executive Assistant or similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Ability to multitask and prioritize tasks effectively.
- Bachelor's degree in Business Administration, Management, or a related field. (PREFERRED)
- Previous experience in supporting executive-level staff.
Physical Demands/Environmental Factors
- While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear
- Occasionally required to stand and walk
- Must frequently lift and/or move up to 25 pounds
- Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus
- Some travel required
Compensation
The Executive Assistant position offers an attractive compensation package, featuring a competitive salary range of $67,000.00 to $80,000.00 per year, contingent on experience (DOE). The annual bonus structure, if applicable, will be determined during the final stages of the interview process with the hiring authorities for the role. In addition to the financial components, we provide a comprehensive benefits package, including medical, dental, and vision insurance, a 401k plan with employer matching, generous paid time off, and life insurance coverage. The final compensation, inclusive of the bonus arrangement, will be contingent upon the candidate's relevant experience, qualifications, and skills, showcasing our commitment to offering a rewarding and competitive remuneration to attract top talent in the industry.
