Job Description
TEACH is seeking an experienced Executive Assistant to be a supportive force and optimize our CEO's efficiency and effectiveness. The Executive Assistant will provide administrative support, thought partnership, decision-making assistance, and forecast the CEO's needs. The successful candidate is a proactive problem solver with excellent organization and communication skills, and meticulous attention to detail. This new hourly independent contractor position will range from 15-20 hours per week to start.

Founded in 2011 and home-grown in Philly, TEACH offers exceptional tutoring and educational programming K-College. TEACH's tutoring approach starts with building strong relationships to promote both academic and social-emotional development through creative, engaging lessons. In a typical academic year, we serve upward of 1500 students through classes and 1-on-1 tutoring, 75 educators through teacher professional development, and coordinate partnership programs with 25-30 local schools, charter networks, and nonprofits. The majority of our partnerships extend over multiple years and grant cycles. Our team believes that education can be a powerful experience that disrupts the systemic inequities that students, families, and communities face in the Greater Philadelphia area. We strive to increase educational opportunities for students by offering programming at no cost to families through grants with external partners, internal TEACH scholarships, and our Get 1, Give 1 initiative for 1-on-1 lessons.
Executive Assistant Responsibilities
- Manage CEO's calendars (TEACH and Calendly). Ensure appropriate individuals are included on invites and calendars are synchronized
- Manage email correspondence
- Coordinate, prepare for, and attend meetings; organize materials, draft agendas, take notes, and save documentation to the appropriate location
- Order staff gifts
- Organize conferences and potential networking opportunities into a spreadsheet; support the CEO in determining what to attend/skip
- Book business travel
- Capture and organize the CEO's current Personal Assistant systems to build out a complete playbook
- Support the CEO with managing the current Personal Assistant, providing guidance and weekly one-on-one check-ins
- Other duties as assigned
Required Qualifications
- 2-3 years of prior work experience as an Executive Assistant
- This position offers some flexibility in work hours; however, applicants must be available to periodically travel to the CEO's home in the Northern Liberties neighborhood of Philadelphia 1 day per week as needed. This is a hybrid role requiring 5-8 weekly hours onsite; the remaining hours can be performed remotely
- Highly organized and detail-oriented; demonstrates a strong ability to follow through
- Can work efficiently and autonomously; is self-sufficient, but knows when to ask for guidance/clarification
- Strong written and verbal communication skills
- Has an ability to prioritize while managing multiple projects simultaneously
- Proficiency in Microsoft Office, and Google Drive, and an interest in learning additional project management tools/technology
