Position Summary
This key position reports to the COO and will have evolving responsibilities as the company grows, helping to maintain a smooth-running company by performing important tasks and initiatives in new functional areas. The Executive Assistant position is an ideal role for someone who can handle multiple assignments, likes variety, and gets satisfaction from making an impact on a team addressing the biggest issue of our time: climate change.
Essential Functions
- Work directly with the COO to support all aspects of daily work routine.
- Maintain the COO's calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
- Coordinate work with other leadership staff as needed; play a key role in the coordination of staff efforts both within and outside the department.
- Provide coordination, monitoring, and communication of projects and programs as designated.
- Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
- Sort and triage mail; maintain e-mail and other address directories.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
- Prepare, reconcile, and submit expense reports.
- Maintain paper and electronic filing systems.
- Maintain confidential and sensitive information.
- Overseeing upkeep and stock of office and break room supplies.
- Other additional and/or alternative duties as assigned.
Position Qualifications
- Bachelor's degree; business, marketing, or communications preferred
- 5+ years of related profession experience required
- Strong organizational skills, detail-oriented and able to handle multiple tasks and meet deadlines in a fast-paced environment
- Self-motivated and self-directed
- Excellent computer skills, including proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Good team player: pleasant and a good person to work with and be around, who makes others better and reflects well on AquaHydrex
- Excellent verbal and written communication skills
- Confident and capable in working with external people
Salary / Pay: From $75,000 to $95,000 per year, commensurate with experience
