Executive Assistant – Principal | Education & Operations
SUMMARY
The Executive Assistant will provide superior support to our Principal of Education & Operations. This is a highly visible position that requires flexibility, excellent interpersonal skills, discretion and a professional demeanor, project coordination experience, exceptional attention to detail and the ability to work well with all levels of internal management and staff, as well as members and outside clients/vendors.
DESCRIPTION
- Act as gatekeeper and confidant to the Principal
- Supports calendar and email management
- Conserves Principals time by reading, researching and routing correspondence; drafting letters, documents, and proposals; collecting and analyzing information; initiation of telecommunications
- Independently manage small projects that include short deadlines and involve participation by members and directors/managers
- Screens calls and interact with visitors, vendors and others; solve routine and complex inquiries. Schedule appointments, meetings and travel itineraries
- Maintain division organization chart
- Assist in preparation of meeting minutes
- Assist the executive team during business planning and other times throughout the year
- Prepare agendas, collect and distribute materials for meetings
- Adeptly handle incoming communications and respond to internal requests for information
- Handle sensitive and confidential information with discretion
- Deliver communications on behalf of the Principal
- Act as a resource for other team members; specifically in marketing and project delivery
KNOWLEDGE and SKILLS
- Experience coordinating travel arrangements
- Strong written and verbal communication skills
- Ability to multitask and to function independently
- Strong organizational and time-management skills
- Attention to detail and proven ability to manage tasks from commencement to end
- Must maintain confidentiality at all times
REQUIREMENTS
- Bachelor’s degree preferred
- 5 or more years previous experience as a high-level assistant
- Advanced skills in Outlook, Word, Excel and PowerPoint.
