Responsibilities
- Support Executive with all day-to-day tasks, both professional and personal.
- Handle important professional tasks for Executive including but not limited to project management, calendar management, note taking, email correspondence, signature pages, and expense reporting.
- Possess extensive travel management and recovery experience working with both private and commercial travel. Ability to coordinate complex travel logistics.
- Oversee the day-to-day office operations including office management, answering calls, greeting visitors etc.
- Plan, setup and execute company stakeholder events, including: board meetings, private dinners, team building activities, and office events.
- Compose documents and collaborate with appropriate departments to format, edit and proofread. Coordinate printing for presentations, proposals, and other client deliverables.
- Respond to requests from the Executive regarding research and information gathering, updates, arranging appointments, clarifying information, etc.
- Serve as the primary point of contact for all internal and external matters pertaining to the Executive.
- Work closely with administrative staff on calendar and office management.
Qualifications
- Bachelor's degree - GPA Requirement: 3.8 or higher
- Minimum of 2-6 years’ experience supporting high level executives in a similar role.
- Ability to maintain the highest standard of discretion and confidentiality.
- Detail oriented self-starter with the ability to anticipate needs to propose and execute solutions.
- Conscientious and takes ownership of the work and or project until full completion.
- Strong communication skills and high emotional intelligence.
- Highly organized with strong attention to detail.
- Ability to multitask and prioritize competing tasks and deadlines.
- Extensive familiarity with Microsoft Office suite (Outlook, Word, Excel, PowerPoint, etc.).
- Ability to travel on occasion to other offices, residences or local errand locations when necessary.
- Accessibility, availability and responsiveness after hours is required.
