Job Title: Executive Assistant - Marketing Department
Location: Santa Rosa, CA
Schedule: Monday-Thursday 8:30am-5pm, Friday 8:30am-1pm
Duration: Temporary-to-hire
Compensation: $20.00/hr
Nelson Connects is seeking a motivated and outgoing Executive Assistant to support the Marketing Department of an exciting local organization. General Duties:
- Provide general research on groups and events as requested by the Director of Business Development or VP, Marketing & Communications
- Assist in the preparation for and represent this organization at trade shows, wedding shows, chamber & community events, external events, PR missions, and FAMs
- In the absence of the DOS and Sales and Services Manager respond to group inquiries including the distribution of leads when necessary
- Work closely with the Marketing & Communications Manager and Social Media & Content Coordinator to make sure programmatical and partner information is current on the organization’s marketing channels (websites, databases, social media pages).
- Serve as an ambassador for the organization in the surrounding community;
- Develop and maintain professional relationships with current and prospective partners and clients;
- Fill in as a concierge as needed.
- Assist with media and PR reports including inputting the details into a database and sending out the results and final clips to partners and businesses mentioned;
- Create and send monthly reports as directed by the Director of Business Development and VP, Marketing & Communication;
- Provide administrative support to the VP, Marketing & Communications;
- Responsible for maintaining all promotional items including recommending, ordering and inventory;
- Assist in the servicing of groups and events;
- Work with the Content & Social Media Coordinator in the managing of the company’s digital library;
- Responsible for maintaining board documents, taking and transcribing board minutes along with set up for board meetings;
- Keep policies and procedures current and with the direction of the VP, Marketing & Communications, update and create new policies and procedures where necessary;
- Participate in professional development opportunities including certifications to enhance job performance;
- Conduct outreach to new potential partners and proactively solicit their involvement in providing good and services;
- Act as a liaison between the organization, hospitality members and our group & event customers;
- Track value driven programs and activities that drive business to our partners and coordinate efforts with Manager;
- Other Duties as assigned by the VP, Marketing & Communications.
Preferred Background & Experience:
- Customer service experience
- Knowledge of Santa Rosa and the tourism industry
- Knowledge of the sales and marketing processes
- Excellent written and verbal communications skills
- Well organized and able to meet deadlines
- Comfortable with utilizing technology to manage data, conduct virtual meetings, and communicate effectively (Office 365 experience preferred)
- Able to work in a fast-paced, multi-tasking environment with the ability to prioritize projects
