About the Role: Our Client is seeking a proactive and highly organized Executive Assistant to provide crucial administrative support to the Executive Director. You will play a key role in ensuring the smooth operation of the organization, with a particular focus on project and calendar management.
Responsibilities:
- Project Management: Take the lead in managing and coordinating various projects for leadership. This includes creating project plans, tracking progress, and ensuring deadlines are met.
- Calendar Management: Prioritize and manage the calendars of the Executive Director, scheduling meetings, appointments, and events to optimize their time and productivity.
- Administrative Support: Provide comprehensive administrative support to the Executive Director, including document preparation, communication, and travel coordination.
- Communication: Act as a point of contact for internal and external stakeholders, effectively relaying messages and maintaining professional correspondence.
- Meeting Coordination: Schedule, plan, and organize meetings, conferences, and appointments, ensuring that all necessary resources and materials are prepared.
- Attend Board Meetings: Take and maintain detailed notes of all board meetings.
- Documentation: Create and maintain important documents, reports, and presentations as requested by the leadership team.
- Data Management: Manage and organize sensitive data, files, and records, ensuring confidentiality and accuracy.
- Travel Arrangements: Make travel arrangements, including booking flights, accommodations, and transportation, and prepare detailed itineraries.
- Expense Management: Handle expense reports and reimbursement requests efficiently and accurately.
Qualifications:
- Previous Experience: Proven experience as an Executive Assistant or similar administrative role with a strong focus on project and calendar management.
- Organizational Skills: Exceptional organizational and multitasking abilities, with a keen attention to detail.
- Communication: Excellent written and verbal communication skills.
- Tech Proficiency: Proficiency in Microsoft Office Suite and project management tools.
- Discretion: Strong sense of discretion and ability to handle sensitive and confidential information.
- Initiative: A proactive attitude with the ability to anticipate needs and solve problems independently.
- Team Player: Collaborative mindset with the ability to work effectively within a team.
Education Requirements:
A bachelor's degree and/or relevant certification is strongly preferred.
