Park Dental Partners is seeking high-level administrative support in an Executive Administrative Assistant to the CEO and other key organizational executives (CAO, CFO), as directed to ensure their priorities are met, goels are achieved, and best practices are upheld.
Essential Job Duties
- Manage the executives’ calendars, and schedules including making appointments, prioritizing the most sensitive matters
- Organize meetings including scheduling, gathering documents, sending reminders, and organizing catering when necessary
- Provide correspondence administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the executives’ behalf
- Arrange travel and related accommodations for executives (air, hotel, dinner, conference registrations, etc.)
- Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping
- Maintain organizational Master Calendar, Meeting/Event calendar, Sharepoint documents and PTO schedules
- Play a key role in the coordination of Park Dental Partners organization-wide and doctor social events (examples include Annual Service Recognition Dinner, Annual Seminar, Company Picnic)
- Responsible for ensuring daily operations of the Resource Group location
- Analyze administrative needs and propose recommendations for changes in workflow, procedures or assignments to accommodate changing priorities
- Demonstrate initiative and exercise independent judgement by anticipating executive needs
- Demonstrate a high-level of confidentiality with sensitive information
- Work collaboratively with multiple functional areas to achieve project goals
- Performs additional duties as assigned by executives
Required Skills/Qualifications
- Self-motivated, high energy, creative and innovative thinker
- Ability to work independently and as a team to achieve established goals
- Excellent written and verbal communication skills
- Demonstrate ability to effectively utilize resources and understand when to incorporate other internal partners.
- Proven ability to handle multiple projects simultaneously and complete tasks both efficiently and independently with a high degree of accuracy in a time sensitive environment
- Developed interpersonal, verbal and written communication skills and a proactive communication style conducive to success in a professional environment
- Excellent problem-solving skills and ability to deal with difficult situations
- Highly proficient in Microsoft Office Suite and various presentation platforms
Education and Knowledge
- Bachelor’s Degree preferred
- 5-10 years Executive Administrative support experience preferred
Monday through Friday 8:00am-5:00pm
