Executive Administrative Assistant

The Company is seeking hire an Executive Administrative Assistant for a highly innovative company with national and international presence and active growth plans. The ideal candidate will be a positive and highly organized professional who is proficient in organizing schedules, providing support and handling multiple tasks. The successful candidate must also have strong communication skills, including presentation design in PowerPoint, and will respond to internal and external communications in a prompt, professional manner.

Position reports to the Chief Executive Officer with strong relationship and support to the executive team.

Essential Functions:

  • Provide high level administrative support to executives in the workplace.
  • Maintain CEO/President's calendar with great detail and accuracy, including making appointments and prioritizing the most sensitive matters
  • Organizing meetings and events, including scheduling, sending reminders, and organizing catering when necessary
  • Manage corporate travel arrangements
  • Provide executives with a wide variety of information, such as documents, reports and other materials
  • Prepare for meetings; attend and take notes
  • Support and prepare presentations using strong PowerPoint skills
  • Serve as communication interface between the executive and team
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Maintaining comprehensive and accurate records
  • Organize files and contracts
  • General administrative duties such as monitoring office supplies and handling mail
  • Performs other duties as assigned

Requirements:

  • An associate degree or equivalent work experience
  • 3+ years in an Administrative Assistant role
  • Demonstrated strong experience in working in an environment requiring extreme attention to detail, accuracy, organization and confidentiality
  • Ability to multi-task, balance priorities, and work within tight deadlines
  • Proficiency in a variety of PC software programs with strong working knowledge of Microsoft Office required
  • Proficiency with the latest technology such as audio/video equipment, web conferences, secure file transfer technologies
  • Demonstrated experience and strong skills in supporting and setting up executive level meetings and presentations
  • Must possess a strong commitment to professionalism demonstrated by timely and friendly responsiveness to employee, management and executive questions and issues.

Language Ability:
Ability to read and interpret documents. Ability to write routine reports and correspondence. Ability to speak effectively with various levels in the organization, customers, and vendors.

Math Ability:
Ability to read, write, and accurately perform basic mathematical functions including adding, subtracting, multiplication and division. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages. Ability to work with dates, rates, and taxes. Ability to apply concepts of basic and more advanced algebra.

Reasoning Ability:

Ability to concentrate, solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to analyze issues independently.

Endurance Ability:
Ability to perform under deadline pressure. Must consistently produce an efficient, accurate work product.

Computer Skills:
Strong computer skills and proficiency with Microsoft products (Excel, Word, Power Point, Outlook, SharePoint).
