The Prince George's County Government's Department of Family Services is seeking qualified applicants to fill an Executive Administrative Aide position (Executive Administrative Aide-G), grade G21 within its DFS Office of the Director Division.

About the Position:
This is the highest level of responsible secretarial and administrative work in the County government, whereby the incumbent applies a broad knowledge of County government functions to support the Director of the Department of Family Services. The incumbent performs duties to include staff supervision, sensitive, controversial and privileged assignments utilizing independent judgment and initiative via directives of the Director. The incumbent will utilize will serve as the lead departmental staff regarding secretarial, administrative, and office management work assignments, and may supervise a small unit of clerical/administrative employees. The incumbent may have direct and independent contact with all levels of management throughout the County and the public.

What You'll Do:
- Performs executive level secretarial and administrative duties in support of the Director;
- Reviews, develops, and revises departmental policies and procedures;
- Enters and retrieves data associated with inquiries and investigations;
- Answers and screens incoming phone calls for the Director;
- Provides answers to questions/inquiries and/or refer to appropriate department/agency;
- Handles requests, complaints, and prepares responses for Director signature;
- Coordinates a variety of internal activities and special assignments;
- Receives and schedules all incoming meeting and event requests for the Director; composes letters, memorandums, and reports for the Director's approval;
- Serves as liaison between internal and external customers;
- Collaborates with staff regarding administrative and office management functions; researches and organizes materials for meetings, conferences, and/or hearings;
- Compiles data and maintains confidential information;
- Serves as a County Procurement Cardholder regarding procurement of assigned operating units;
- Negotiates and purchases office supplies, equipment, furniture, etc.; manages and organizes Director's office operations, clerical functions, and filing systems;
- Cultivates and develops positive working relationships with managers, staff, and other County agencies;
- Proofreads and edits confidential materials to eliminate errors and ensure correct grammar, spelling and punctuation;
- Briefs the Director on a daily basis; and,
- Performs other tasks and duties as assigned, which may not be specifically listed in the position description; however, are within the general occupational category and responsibility level typically associated with the employee's class of work.
Qualifications
What You'll Need:
- Associate's degree in Business Administration or Secretarial Science, plus
- Three (3) years of senior level secretarial/administrative experience, which involves working with the public, office management/operational details, and staff supervision; or
- Have at least one (1) year of experience at the Administrative Aide IV level with Prince George's County Government.
An equivalent combination of relevant education and experience will be considered.

CONDITIONS OF EMPLOYMENT:

EXAMINATION INSTRUCTIONS: Applicant may be required to pass a typing proficiency exam at the minimum rate of 40 wpm or submit a Prince George's County Government certificate issued within the past year.
DURATION OF ELIGIBILITY: Candidates will be selected from a temporary register of eligible candidates, which will become effective approximately four (4) weeks after the closing date. Once a selection has been made, the register will expire.

General Plan Information:
The Prince George's County benefits plan year is from January 1 to December 31.
A spouse (to include a same sex spouse) can be added to the health benefit plans. A marriage certificate and social security number is required to add a spouse.
Children under the age of 26 are eligible for coverage under the health benefit plans. This includes stepchildren and children of the same-sex spouse. A birth certificate(s) and social security number(s) is required to add a child(ren). If you are only adding the stepchildren or child(ren) of a same-sex spouse, you will need to submit a marriage certificate. You will also need to submit the birth certificate of the child(ren) and your spouse must be listed as a parent.
The premiums for health benefits are deducted on a pre-tax basis with the exception of Long-Term Disability, Extra Life Insurance and Voluntary Benefits (Short-Term Disability, Whole Life Insurance, Critical Illness, Accident Insurance, Cancer Indemnity, Hospital Indemnity Protection, Accident Indemnity Plan, Supplemental Dental and Group Legal Services).
New employees must enroll in the County's health benefit plans within thirty (30) days of the hire date.
The effective date of the health benefits coverage is the beginning of the month following a waiting period of forty-five (45) days from the date of hire.
After enrolling in the County's benefit plans, employees may only make changes to the plans either during the open enrollment period, which occurs annually (usually each October), and/or during the year, due to a family status change (i.e., marriage, births, divorce and adoption).
