JOB DESCRIPTION
The Events Specialist is responsible for initiating, developing, organizing, and implementing various Lakewood and ministry events for assigned departments. Responsibilities include overseeing operational and administrative functions to ensure events are executed efficiently for each event as well as communicating to vendors, ministry leaders and staff.
This position reports directly to the Event's Assistant Director.
ESSENTIAL JOB FUNCTIONS:
Event Registration
- Serve as the subject matter expert on registration software
- Oversee the events registration process inclusive of setting up registration for on-site and off-site events inclusive of retreats, camps, discount codes, sponsors, donations, and attendee registration
- Responsible for building registration pages for Ministries & Special Events
- Meet with Event Coordinator & Ministries regarding their needs for registration
- Set up reports, emails, apps and surveys for registered events
- Maintain event registration pages
- Troubleshoot and adjust problems with registrations
- Coordinate onsite check-in for registered events
- Attend meetings to coordinate upcoming large events, luncheons, pastors meetings and conferences as needed
Records Management
- Track, reconcile, and process expense receipts and/or invoices
- Maintain and present accurate records and reports on event budgets, attendance, and other key metrics
- Ensure accurate room occupancy reporting
- Assist with purchase order submissions
Events Planning
- Assist with coordinating all aspects of events planning, inclusive of organizing, budgeting, scheduling, vendor selection, and communicating with departments
- Provide onsite and off-site support during events; inclusive of logistics, resolving issues, and ensuring the event runs smoothly
- Assist with organizing, and implementing special events, weddings and funerals
- Management and communication of the Events activities schedule
- Assist and help plan ministry conferences, retreats and camps, as needed
- Coordinating with Facilities, DTK, Security, and Audio departments on special event set ups
- Assist with researching and coordinating travel for special guests
- Communicates weekly activity schedule to various departments
- Procures equipment needs for outreach efforts
Miscellaneous
- Respond to vendor concerns
- Coordinate on-site support for events and event close-outs
- Coordinates guest travel (hospitality) when needed
- Responds to and troubleshoot events related complaints and/or concerns
- Meets and coordinate Ministry Event volunteers
- Oversees sensitive, confidential information and assignments with tact, discretion, and diplomacy
- Other duties as assigned

- Serving as a Prayer Partner or as a volunteer in any ministry of the Church, and
- Serving our community through local outreaches from time to time when needed by the Church.

EDUCATION & EXPERIENCE
- Associate degree or equivalent work experience
- Minimum 2- 4 years of experience in event planning or conference management
- Proficiency in events registration software a plus
