Pearl is a national start-up that certifies high-performing homes: homes with efficient heating and cooling, solar, smart home devices, resilient features and much more. Pearl's certification drives demand for these improvements by capturing their value for resale and appraisal.

We are looking for an Events Coordinatorto join our dynamic, supportive team to work remotely from anywhere in the United States.

Your Mission: To oversee all event logistics and work collaboratively across the organization to ensure trade shows, conferences, events, webinars, and other convenings are planned and implemented successfully, and that Pearl earns the maximum return on investment for each event.


As the Events Coordinator, you will:

Project Manage Events:

  • Organize and lead pre-event meetings with stakeholders and assign tasks to appropriate team members
  • Create and communicate timelines and enforce deadlines for event prep and logistics, including sponsorship submissions, registration, travel and accommodations
  • Manage travel logistics, including accommodations, reservations, travel, and registration for event attendees and Pearl speakers/presenters
  • Create standard workflows for event planning, preparation, and task tracking in Monday.com, ensuring that key stakeholders are looped in for each event
  • Maintain and optimize Pearl's event calendar
  • Select booth placements for in-person events
  • Act as the primary point of contact for communications with event organizers
  • Arrange printing and shipping of all event flyers, postcards, and other event collateral
  • Order and ship exhibit booths and table covers, giveaways and prizes, banners, stands, and racks
  • Order Pearl swag and ensure employees are outfitted with name tags, business cards, shirts, and other Pearl-branded items as needed
  • Ensure presentations, speaker bios, headshots, logo, and other requested information are accurate, on brand, and delivered on time
  • Curate a list of VIP attendees and coordinate Pearl-hosted meetings with prospective or current customers and partners
  • Maintain open communication with team members on site for unplanned asks
  • Order and upload lead data from events, tag and track leads in Salesforce CRM, and assign leads to appropriate sales reps
  • Track event spending against established budgets and make recommendations for budget conservation
  • Build reports for event ROI based on business success metrics

Manage Resources:

  • Maintain a well-organized digital repository of event resources including: collateral, vendor contracts, vendor contact information, Pearl speaker bios, deck templates, past sponsorships, etc.
  • Manage vendor relationships and monitor vendor rates and quality of service
  • Manage Pearl's storage facility, including tracking inventory, payments, deploys and receivables, and restocking items as needed

Collaborate with MarComms Team:

  • Develop a cohesive, measurable event strategy that drives business objectives
  • Coordinate marketing and social media plan to promote both Pearl-hosted and Pearl-attended events
  • Research, identify, differentiate, and recommend thought-leadership initiatives, sales opportunities, and network and business development opportunities that deliver the most ROI within a set budget
  • Become the Zoom webinar and logistics expert for Pearl's virtual events

What we're looking for in an Events Coordinator:

  • Fit:
    • You are authorized to legally work in the U.S. (Pearl is unable to sponsor employment visas at this time)
    • You have 2-5 years of demonstrated experience planning and managing events for a B2B business, preferably in the contracting, building, real estate, or manufacturing industry
    • You are excited to travel occasionally to support the team at large events
    • You have a positive attitude, high energy, and enjoy working cooperatively in a team environment
  • Knowledge:
    • You have demonstrated experience setting, tracking, and achieving business-level goals on deadline and within budget
    • You have excellent organizational and logistics skills with attention to detail
    • You have superb communication skills
    • You are proficient in Google Workspace (Docs, Sheets, Meet, Drive, Slides, Gmail, Calendar), Microsoft Office Suite, and Zoom or similar web conferencing platform
    • You have familiarity with project management software tools (like Monday.com) and CRM platforms (Salesforce)
  • Know-how:
    • You are comfortable taking initiative and problem solving
    • You like to work autonomously and assume accountability for project outcomes
    • You thrive in a startup environment: being proactive, flexible, and comfortable with rapidly changing priorities and multiple concurrent projects

Nice to have:

  • Familiarity with lead retrieval tools
  • Previous experience working for a startup
  • Experience in one or more of the following industries: home contracting, solar, energy efficiency, residential, new construction, real estate, SaaS, software platforms/marketplace

Compensation and Benefits:

  • Market salary based on experience and local conditions, in the range of $53k to $72k
