Events and Venues Planners oversee all aspects of events in support of the events program of an organization or the events function of a venue. They perform a wide range of activities to plan and execute events, including locating appropriate venues, managing guest list communication and ticket sale operations, developing agendas and programs, monitoring event timelines, cultivating client relations, securing adequate staffing for events, and providing day-of supervision and customer service to ensure seamless execution. They work independently to fulfill defined organizational or client goals.

Reporting to the Director of Advancement, this part-time position will assist in the planning and execution of events, with a particular focus on our 50th Anniversary celebrations, programming around local journalism, and other events, as needed. This is a unique opportunity to contribute to our mission of fostering dialogue and understanding in communities across the state and commemorating a significant milestone in our organization's history.
Key Responsibilities:
- Lead the planning and execution of the 50th Anniversary celebrations and related events, including identifying and securing venues, managing budgets, and coordinating logistics, ensuring they align with the organization's objectives and vision.
- Play a pivotal role in organizing journalism programs, including speaker selection, agenda development, and attendee registration.
- Work with vendors, sponsors, and partners to ensure the success of events, managing contracts and partnerships.
- Prepare and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
- Coordinate event promotion and outreach, working with the Communications Team to create marketing materials and campaigns.
- Oversee event logistics, including set-up, registration, and on-site management.
- Collaborate with staff and volunteers to ensure smooth event operations.
- Post-event evaluation and reporting, gathering feedback and assessing the success of each event.
- In addition to the above job responsibilities, other duties may be assigned.
Qualifications:
- Bachelor's degree. Academic majors in event management, hospitality, marketing, or related field preferred.
- At least one year of experience in event planning and project management.
- Excellent organizational and time-management skills.
- Strong communication, interpersonal, and partnership management skills.
- Proficient in Microsoft Office and event management software.
- Budget management experience
- Ability to work independently and as part of a team.
- Creative problem-solving skills and a proactive approach to challenges.
- Flexibility to work evenings and weekends as needed.
This position is intended to last for up to 3 years and the anticipated position compensation range is $25 to $30 per hour.
This position is Hybrid located in Charlottesville, VA, in-office at least two days a week, more as needed.
