Our heart is to bring transformation to every life through the power of Jesus Christ. The LifeFamily Event Operations Director plays a vital role in conveying and facilitating this vision and mission through leadership, management and oversight of all events at LifeFamily campuses.
The Event Operations Director supervises events for spaces at LifeFamily campuses, concerts, business meeting rentals of our buildings, or conferences. Your duties include being the chief contact for all customer inquiries and requests about the spaces, consulting with clients about every detail of an event to ensure that it runs smoothly, prospecting new sales, and managing revenue documentation and processes. All scheduling and organization will be run through the Event Operations Director.
Position Description
Sales:
Manage incoming leads through marketing efforts
Manage incoming leads through phone calls and email requests
Tour booked appointments and drop ins
Create relationships by attending networking events (all events will need to be placed on your shared calendar)
Community with Executive Pastors upcoming requests and events to see that they align with LifeFamily
Each personal lead and outside appointment when not at the building will need to be placed on your leads spreadsheet with follow up notes daily
Return phone calls and emails no later than 24 hours from request
Set pricing per needs of the event
Collaborate to market additional events
Events:
After the client is booked, set up a layout meeting 30 days prior to the event date with the client to go over the layout of the space chosen. Set up the layout in the assigned app.
Assure we have enough tables and chairs for the event. If we do not you may sublease and charge back to the client no later than 15 days before the event date
Create setup and tear down paperwork for porters, and work with Facilities for onsite teams
Create and manage event porter schedules
Process all vendor invoices for payment with the Accounting Department.
Schedule any food vendors for events
Coordinate volunteers for event, ticket check in, security, parking
Coordinate with the Creative for any video or photography and marketing
Meet with Creative team on a regular basis for marketing and capturing events
Coordinate with radio stations for marketing
Communicate with LifeFamily via email to announce events open to the public
Meet with Facilities Director weekly to review all upcoming events
Book spaces for events
Return phone calls and emails no later than 24 hours from requested information
Follow up with tours within 48 hours of visit
Fill out a tour log during each tour – turn tour log into General Manager after the tour with detailed notes
Find new and creative ways to use the space- Plan one happy hour hosted by Phase at the venue once a month to allow professionals to view coworking and event space options
Make sure that contracts are always up to date and signed by the vendors.

Skilled in recruiting, training, developing, and leading volunteer teams for events
Requirements and Qualifications
A bachelor's degree in hospitality, marketing, or a related field preferred
Event planning experience preferred
Sales experience
Organizational and communication skills

Ability to travel by car to/from LifeFamily campuses, church house and venues
Physical mobility and endurance to perform tasks while standing/walking for long
periods of time (60 minutes or more)

● Monday-Friday 9:00am-4:30pm

● Participate in church services and events as needed
All Staff meetings and events
