As the Event Manager, you will oversee all aspects of the conference rooms, Rooftop, Garden and The Alex within both hotels. Responsibilities:
- Collaborate with clients to understand their event requirements, including preferences, budget, and special requests.
- Plan, organize, and coordinate all aspects of events, including meetings, conferences, weddings, and social gatherings.
- Work closely with internal departments such as catering, sales, and operations to ensure seamless execution of events.
- Assist clients in selecting appropriate event spaces, catering options, and additional services to meet their needs.
- Create detailed event proposals, including cost estimates, timelines, and service agreements.
- Coordinate logistics, including event setup, catering, audiovisual requirements, and transportation.
- Calendar management for meetings and events to provide expected experience and engagement within the clients.
- Responsible for coordinating and overseeing all in-house hotel functions and ensuring open inter-departmental communication, so as to ensure all client needs are consistently met and standards of service maintained.
- Creatively up-sell services and food for all events.
- Generates Banquet Event Orders.
- Generates Group Resumes when needed.
- Generates function room diagrams.
- Deliver superior customer service and work with all parties to ensure successful planning and execution of meetings and events throughout the year.
- Ensure total client satisfaction through understanding of client expectations, proactive problem identification/resolution, and maximizing opportunities to build relationships.
- Work within an approved vendor network to source services such as catering, entertainment, décor, AV equipment, etc. as applicable (proposal acquisitions, orders, deliveries, site visits.
- Basic knowledge required of audio-visual equipment to support client requests and troubleshoot as needed.
- Oversee on-site event management to address any issues and ensure everything runs smoothly.
- Maintain accurate records of all event details, client communications, and expenses.
- Stay informed about industry trends and innovative event concepts to enhance our offerings.
- Handle post-event evaluations and gather feedback from clients to improve future events.
Qualifications:
- At least 2 years of event or meeting experience required.
- Excellent communication skills, professional judgment, strong work ethic, and positive and client-focused attitude.
- Proven track record of meeting deadlines and managing multiple priorities simultaneously.
- Self-motivator who likes to work collaboratively with colleagues across all levels.
- Strong knowledge of MS Office Suite. Must have previous experience with advanced features of Microsoft Excel.
