Job Summary
The University Events Team is seeking a Event Manager. This is a full-time (1.00 FTE),12-month, professional faculty position.
The University Events Team, within the Chancellor and Dean’s Office, seeks to ensure that Oregon State University – Cascades (OSU – Cascades) presents high quality events and programs that adhere to hospitality standards, engender goodwill and enhance the image, mission and goals of the university. This team plans and orchestrates events on behalf of the Chancellor’s Office and provides event planning expertise and advice to university colleagues. They collaborate with other university colleagues by providing expertise in event resources, event strategic planning and execution and protocol. This team also manages the university’s public facing calendar and the borrowable program.
This position will focus primarily on internal events – academic lectures, student orientations, commencement – as examples. The clients will be OSU-Cascades employees and departments. This position will provide coverage for the University Events Manager – External, and assist on external events as needed.

Key Responsibilities
Event Coordination – 50%
Provides event coordination for groups as contracted by the team or designated by leadership. Services may include creating event plans, coordinating resources, and/or providing on-site event assistance.
Works with communications and marketing professionals to oversee the development of event-related printed materials, invitations, programs, etc. Directs development of scripts for events as needed. Collaborates with other University Relations and Marketing Directors to promote the strategic goals of the University by incorporating these goals into our planning and strategies.
Negotiates contracts (in partnership with Procurement, Contracts and Materials Management Office) with internal and external vendors to assure high quality and cost-effective services.
Works with units that complement and support the activities of University Events to enhance the quality and consistency of all OSU events (e.g. Edge Catering and off-campus caterers, Transportation Services, Campus Safety, etc.).
Consults the Chancellor’s office and other leadership calendars within OSU-Cascades (and sometimes OSU) to schedule major events.
Event Creation/Management – 30%
Creates concepts for new events.
Plans and establishes goals and objectives for university events.
Prepares post-event analysis to assess opportunities and make recommendations to leadership as appropriate.
Showcases the University Events Team and OSU-Cascades in a professional, engaging, and customer-centered manner. Presents proposals to groups, facilities meetings, coordinates scarce resources with tact, communicates diplomatically, etc.
Other/Special Projects – 20%
Creates and manages the OSU-Cascades public facing calendar, as well as an internal events calendar.
Develops and manages an events “borrowable” program for event-related equipment that can be checked out.
Creates and implements a events protocol guide and promotes its use among all OSU-Cascades units planning events.
Supervises and trains student workers who assist the events team.

What You Will Need
  • Bachelor’s degree or equivalent combination of training and experience
  • 2 years experience planning and executing events of varying sizes
  • Ability to manage external vendor resources and relationships
  • Demonstrated project management skills
  • Excellent written and oral communication skills
  • Ability to multi-task and adapt to changing priorities and duties
  • Strong Microsoft Office skills
  • A demonstrable commitment to promoting and enhancing diversity
This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.

Working Conditions / Work Schedule
This position works in an office environment, typically 8am to 5pm, but hours will vary at times due to responsibility for evening and weekend events. Some lifting, standing for periods of time, and working outdoors may be required. Local travel will be required, as will occasional statewide travel. This is an onsite position (Cascades campus); occasional remote will be okay.
