Event Coordinator

Summary:   

The primary role of the Events Coordinator will be assisting with coordination of events for various SCA events.  

Essential Functions: 

• Assists with coordination of logistics for Expo Chicago and World of Coffee Copenhagen. 
• Oversight and management of event inventory and supplies   
• Purchasing of supplies for events. 
• Ensure accurate and timely delivery of supplies needed for event production.   
• Assists with event registration.  

• Manage show freight to include shipping instructions, shipping manifest and tracking, coordination of delivery with GSC and accurate account of items being returned to inventory 
• Review and update supply lists and equipment for events.  
• Coordinate with Sales Coordinator to ensure all supplies are covered by sponsorship, purchase, or pulled from existing inventory. 
• Attend trade shows to provide support services, including freight management, set up and registration assistance, materials management, classroom set up and other miscellaneous duties.   
• Invoice processing, review and tracking 

• Compilation of show books, handbooks and other event materials as required 
• Assist with tracking Exhibitor requirements 
• Prepare instructions and schedules for show features 
• Other administrative and operations duties as required 

Desired Education and Experience: 

• Must be a team player; and demonstrate excellent oral and written communication skills, and a professional demeanor; 
• Minimum 2 years event coordination or operations experience in innovative events, trade shows or similar professional meeting environments.  
• Experience in the coffee, beverage or foodservice industries a plus.

Timeline and Expected Scope of Work  

• November 27 – Dec 22 – 20-25 hours per week 

• Jan 8 – April 5 (14wks) - 20-25 hours per week 
• April 8-15: Attend Show – 10+ hours per day 
• April 16 – April 22 – 20-25 hours per week
