AM23-046 Escrow Assistant I, II, or III

SUMMARY:

Escrow Assistant I:

Under close supervision will learn and perform secretarial and clerical duties to assist in the gathering of information and handling of funds for the closing of escrows. This includes dealing with details of a highly confidential nature. Assists in developing customer relationships and business.

Or

Escrow Assistant II:

Under limited supervision, perform secretarial and clerical duties to assist in the gathering of information and handling of funds for the closing of escrows. Will provide customer service and technical assistance to external and internal customers in support of the closing function. This includes dealing with details of a highly confidential nature. Assists in developing customer relationships and business.

Or

Escrow Assistant III:

Under minimal supervision, perform secretarial and clerical duties in the gathering of information and handling of funds for the closing of escrows and clearing title. Will provide customer service and technical assistance to external and internal customers in support of the closing function. This includes dealing with details of a highly confidential nature. Develops customer relationships and business.

ESSENTIAL DUTIES ANDRESPONSIBILITIES include the following. Other duties may be assigned.

Escrow Assistant I:

1. Answers incoming phone calls, emails, greets customers, and places calls in a timely, professional manner with an emphasis on building customer relationships.

2. Distributes incoming and outgoing correspondence with cost-conscious considerations while adhering to time guidelines, e.g. status letters, lender loan packages, title commitments, FedEx or UPS (overnight), etc.

3. Organizes and maintains file system, file correspondence and other records.

4. Gathers accurate information, opens orders, initial file set up, deposit and disbursement of funds, written transmittals for funds and documents, handles reconveyances, pre-closing maintenance and post-closing follow-up on assigned files.

5. Maintains the escrow process flow and the escrow “to do” check list.

6. May provide transaction information to authorized persons and/or determine who can best provide and route the request.

7. May process completed loan packages including applicable conditions, copies and instructions.

8. Complies with customer preference forms.

9. Support and models the Company’s Core Values; Communication, Collaboration, Consideration, Innovation, and Accountability. Also promotes and aligns with the Company’s Core Value Divers.

10. Consistently works as part of a team (office and/or remote) and must have the ability to interact with others in a collaborative, professional, considerate, and respectful manner.

12. Participates in cross training to meet the business strategies.

13. Maintain confidentiality and deal with sensitive information in a professional manner.

14. Maintain flexibility and adaptability as priorities change, re-prioritize where appropriate, individual and/or team goals, and to meet deadlines.

15. Consistently works pre-established work schedule, and work overtime as required to meet the business needs. Physical presence in the work location (office), where applicable.

Or

Escrow Assistant II:

1. Answers incoming phone calls and emails, greets customers, and places calls in a timely, professional manner with an emphasis on building customer relationships. Seeks to enhance the customer experience with customers, business associates, vendors and fellow associates.

2. Distributes incoming and outgoing correspondence with cost-conscious considerations while adhering to time guidelines, e.g. status letters, lender loan packages, title commitments, FedEx or UPS (overnight), etc.

3. Organizes and maintains file system, file correspondence and other records.

4. Communicates and interprets title and exception requirements, and purchase and sale agreements.

5. Gathers accurate information, opens orders, sets up the initial file, deposits and disburses funds, drafts written transmittals for funds and documents, handles reconveyances, pre-closing maintenance and post-closing follow-up on assigned files.

6. Provide transaction information to authorized persons and/or determines who can best provide and route the request.

7. Processes completed loan packages including applicable conditions, copies and instructions.

8. Complies with customer preference forms.

9. Maintains the escrow process flow and the escrow “to do” check list.

10. May process payoffs, balance escrow, receipt of incoming wires and/or deposit “good funds” after balancing, and may record legal documents.

11. May assist in coordinating the closing.

12. May assist in training activities of entry level positions.

Escrow Assistant III:

1. Answers incoming phone calls, emails, greeting customers, and placing calls in a timely, professional manner with an emphasis on building customer relationships. Seeking always to enhance the customer experience with customers, business associates, vendors and fellow associates.

2. Maintains direct, continuing relationship with assigned customers; take personal ownership for customer satisfaction and loyalty.

3. Gathering accurate information, opens orders, file set up, deposit and disbursement of funds, balance escrow, written transmittals for funds and documents, handling reconveyances, pre-closing maintenance and post-closing follow-up on assigned files.

4. Responsible for obtaining necessary instruments to clear title for closing.

5. May assist in coordinating the closing.

6. Organizes and maintains file system, file correspondence and other records in preferred order and copy for physical presentation.

7. Communicates and interprets title and exception requirements, and purchase and sale agreements.

8. May periodically serve as a backup to the Escrow Officer in conducting closing activities.

9. Process payoffs, balance escrow, receipt of incoming wires and/or deposit “good funds” after balancing, may record legal documents.

10. Provides transaction information to authorized persons.

11. Distributes incoming and outgoing correspondence with cost-conscious considerations while adhering to time guidelines, e.g. status letters, lender loan packages, title commitments, FedEx or UPS (overnight), etc.

12. Maintains the escrow process flow and the escrow “to do” check list.

13. Complies with customer preference forms.

14. Assists in training and directing work activities for EA I & EA II level associates.

MINIMUM QUALIFICATIONS:

Escrow Assistant I:

Education:

High school diploma or equivalent required.

Experience:

One to three years basic clerical, administrative and/or customer service experience preferred. Title industry experience or other related experience e.g., real estate, banking, or legal preferred. Ability to pass the appropriate assessment, where applicable.

Skills:

Computer literacy required, proficient in MS Word and Excel, working knowledge of electronic email, Intranet and Internet, typing 40 wpm, 10-Key, operates office machines such as a computer, fax, scanner and phone system. Must have good math skills, written and verbal communication skills. Ability to become a Notary Public. Ability to interact with others. Ability to read, write, speak and understand English.

Other:

Must possess good written and verbal communication skills with the ability to relay information clearly and concisely. Must possess a sense of urgency to meet on-going deadlines. Must have the ability to; build productive customer relationships, handle personal data in confidence, learn to perform a task through on-the-job training, adjust effectively to changing, new or different situations, manage stress of deadlines and high volume workload.

Or

Escrow Assistant II:

Education:

High school diploma or equivalent required.

Experience:

One to two years title industry experience or other related experience e.g., real estate, banking, or legal required. One year as an EA 1 preferred. Ability to pass the appropriate assessment, where applicable.

Skills:

Computer literacy required, working knowledge with an escrow software system, MS Word and Excel, Intranet and Internet, working knowledge of electronic email, typing 40 wpm, 10-Key, operates office machines such as a computer, fax, and phone system. Must have good math skills, written and verbal communication skills, and the ability to proofread and correct errors. Ability to become a Notary Public. Ability to interact with others. Ability to read, write, speak and understand English.

Other:

Must possess good written and verbal communication skills with the ability to relay information clearly and concisely. Must possess a sense of urgency to meet on-going deadlines. Must have the ability to; build productive customer relationships, handle personal data in confidence, learn to perform a task through on-the-job training, adjust effectively to changing, new or different situations, and manage stress of deadlines and high volume workload.

Escrow Assistant III:

Education:

High school diploma or equivalent required.

Experience:

Two to four years performing EA I and/or EA II duties or a combination of title industry experience and relevant work experience gained in the real estate, banking, or legal field. Must have a thorough knowledge of the real estate escrows and title insurance. Ability to pass the appropriate assessment, where applicable.

Skills:

Computer literacy required, proficient in escrow and/or title software, MS Word and Excel, working knowledge of electronic email, Intranet and Internet savvy, typing 40 wpm, 10-Key, operates office machines such as a computer, fax, scanner and phone system. Must have good math skills, the ability to proofread and correct errors, and have excellent written and verbal communication skills to enhance the overall customer experience. Ability to become a Notary Public. Ability to interact with others. Ability to read, write, speak and understand English.

Other:

Excellent written and verbal communication skills with the ability to relay information clearly and concisely. Must possess a sense of urgency to meet on-going deadlines.
