The EPI Research Operations Administrator will be responsible for financial management, including budget management, credit card reconciliation, and financial monitoring for Everyday Peace Indicators grants administered through Brandeis. Additionally, role will be responsible for grant reporting and management duties including: submission of narrative and financial reports to donors, grant monitoring, and subcontract management. Day-to-day operations role includes responsibility for overseeing field tasks, support of Professor Pamina Firchow and Everyday Peace Indicators, as needed. Lastly, this role will specialize in field staff management, including management of field contracts, budgets, payments and money transfers, tracking project deliverables, reviewing and organizing expenses, and managing employee onboarding.
Key Responsibilities:
Field Support (for 2 field teams):
- Responsible for assisting with preparing and monitoring contracts, budgets, payments and money transfers
- Tracking project tasks and deliverables to ensure timely completion, per donor requirements
- Review and approve expenses, and retain receipts and necessary documentation for expenditures
- Managing employee onboarding, credential creation, and payroll setup
- Support new and existing employees by providing access to needed administrative systems
Financial Management:
- Prepare and monitor budgets and cash flow for Everyday Peace Indicators grants administered through Brandeis
- Reconciling monthly credit card expenditures and statements for supervisor and / or personal professional activities
- Collaborate with Brandeis staff to monitor relevant grant and fund spending via Brandeis systems including Workday and Coupa, etc.
Grant Reporting:
- Responsible for coordinating and completing timely submission of all Brandeis-administered donor reporting requirements, including project narrative and financial reports, as agreed to with relevant respective donors
- Collaborate effectively with Brandeis departments to ensure all necessary financial documentation is produced and submitted in a timely manner - Brandeis departments to collaborate with include: Sponsored Programs Accounting and the Office of Research Administration
Grant Management:
- Monitor grant implementation to ensure timely meeting of deliverables, per grant requirements
- Collaborate with Brandeis to prepare and manage subcontracts with local partners and consultants
- Represent EPI in meetings with Brandeis, donors, and partners, as needed
Day-to-Day Everyday Peace Indicators Operations:
- Coordinate to complete field support tasks for all EPI activities and any other EPI related needs
- Maintain communication with Professor Pamina Firchow and all EPI teams about grants, contracts, administrative needs, and other matters, as needed
- Participate in EPI NGO board meetings and assist as necessary
Administrative Support and other Responsibilities:
- Ensure state and federal compliance, including, but not limited to, timely registrations and reporting to municipal, state, and federal agencies
- Oversee human resources of employees and consultants
- Maintain organizational records and contracts, including supporting migration of filing system
- Organize and support EPI related events and meetings when needed
Education requirements and additional information:
Bachelors Degree, International Relations, Political Science, Accounting required plus 1-3 years related job experience
Foreign language skills, financial management technical skills (Excel competency, Quickbooks Online competency, Workday competency)
