Entry Level Document Controller
- Working directly with project teams coordinating and transmitting deliverables to clients in a time-sensitive manner;
- Working directly with clients and project teams to ensure that contractual requirements are met for document management including document transmittals, tracking, storage and quality assurance;
- Ensuring that the quality check and review procedures for all document submissions are being implemented and followed by the project team;
- Troubleshooting and resolving document control queries raised by team members;
- Ensuring the project team is innovative, results-oriented, and proactive by monitoring and routinely assessing team needs and organizing and initiating process improvements related to document management;
- Other duties as required to support project administration:
- Attend meetings via teleconference with client and Mott MacDonald project teams as required
- Manage common data environments (e.g., SharePoint sites)
- Document scope changes
- Track approved changes
- Prepare progress reports
- Initiate meetings and prepare minutes
- Maintain action item registers
- Post-secondary diploma, or equivalent demonstrated experience;
- Experience in an administrative assistant role is a plus
- Proficient computer skills including experience with Microsoft Office (Outlook, Excel, Word and Power Point);
- Proficiency in verbal and written communication with a high degree of attention to detail;
- Effective multitasking and organizational skills;
- Must be self-motivated and a team player;
- Ability to maintain business-related confidentiality and discretion
