Job description

The Assistant Buyer will work closely with Buyers, Senior Buyers, and Managers to maintain inventory levels in 20+ warehouse spaces throughout the Northeast and nationally. Responsible for supporting vendor and inter-department relations with clear and timely communication skills. Tasks include but are not limited to overseeing stock, monitoring open purchase orders, and maintaining accurate pricing. Assistant Buyer is expected to analyze market trends, customer demand, year over year variances, and economic conditions determine buying needs.


Mastery of Purchasing Daily Reports:

  • Daily Fill Rate – Review daily & escalate issues to buyer
  • Transmitting Stock – Review daily & identify problems/escalate to buyer
  • Daily Overdue PO Report – Review and actively works with inventory control & suppliers to resolve open items
  • Stock Inventory Days on Hand – Review & formats for team; assists in transferring product & checking open orders
  • Daily Inventory Ins/Outs – Review inventory movements and escalate issues to buyer
  • Open Backorders Report – Review all backorders and fill orders in a timely manner
  • Orders Not Invoicing (Bill Complete) – Review and fill orders in a timely manner
  • Orders Not Invoicing (Non Bill Complete) – Review and fill orders in a timely manner

Independently Manage Multiple Vendor Lines by:

  • Regularly placing stock & special orders
  • Following up on delinquent orders & backordered items
  • Reaching out to internal contacts independently for resolution on issues
  • Corresponding with Receiving Department, Inventory Control Team, Accounting Department [via AP Sharepoint],
  • Customer Service Department [via Sharepoint] & Marketing Department

Assist the Buyer and/or Senior Buyer by:

  • Monitoring wholesale and stock backorders and filling orders as timely as possible
  • Keying PO’s and transfer orders as needed; checking order confirmations and adding freight and other miscellaneous charges /discounts to PO’s
  • Reviewing sales cost for accuracy and adherence to company policy
  • Reviewing strategic substitutions for accuracy and compliance
  • Responsible for all item maintenance [item setup, maintaining stock flags]
  • Responsible for all Release Review Queue functions

Mastery of System Tools:

  • Microsoft Tools- Excel [V-LOOK-Ups, Sort & Filters, etc.], Outlook, etc.
  • Mason Tools – AX [Sharepoint, Buyer’s Workstation, Sales Backorder Workstation, Wholesale Backorder Workstation, etc.]
  • United Tools – Masonville, USSCO & Biggest Book

Compile Monthly Reporting for Buyer and/or Senior Buyer including but not limited to:

  • Quantity on Hand & Months on Hand Reports – Record QAV and escalate overstock issues to buyer
  • Inactive on Hand Report – Recognize issues and work with buyer to sell through inventory

Knowledge, Skills and Abilities

  • Exceptional communication skills with an ability to converse, read & write in English
  • Ability to communicate effectively with all levels inside the organization and within the vendor community via phone, email, video conferencing and in-person interactions
  • Able to manage multiple priorities in a fast-paced environment
  • Fast and accurate data entry
  • Strong business acumen and analytical skills, particularly using data sets to problem solve, with a strong ability to achieve results

 

Education and/or Experience

  • Bachelor’s degree required
  • 0-2 years prior experience in retail, merchandising, buying, planning and allocation, marketing, or a related field
  • Exceptional computer skills, including proficiency in Microsoft Excel
  • Strong grasp of business math
