OVERVIEW
Founded in 1947 by Nina Vance, the Alley Theatre is a pioneer of regional theatre, and one of the leading nonprofit theatre companies in the United States. The Alley has been awarded the prestigious Regional Theatre Tony Award and the Texas Medal of Arts Award. The Alley has transferred productions to Broadway, Off-Broadway, major European Festivals, and to 40 American cities. Nationally recognized directors, actors, playwrights, and designers from across the country have regularly joined the Resident Acting Company.
Rob Melrose, Artistic Director at the Alley, took over as artistic leader of the organization in 2019. His vision for the future of the Alley is both thrilling and ambitious. STATEMENT OF JOB
The Education & Community Engagement Administrative Coordinator will work closely with the Administrative Director and team to ensure the successful, effective administration of Alleys Education & Community Engagement programming.
Job Duties:
Support the day-to-day administration of department activities, including:
  • Maintaining school and community contacts in the Alleys database
  • Issuing school booking agreements, letters of agreement, and invoices
  • Processing payments (accounts receivable) and submitting invoices for payment (accounts payable)
  • Overseeing ECE office management, including supplies, inventory, and storage
  • Assisting in the scheduling of school and community programming
  • Assisting in the organization and execution of district contracts and bids
  • Supporting facilitation of Student Matinees, Camps, and other events
  • Supporting the booking and facilitation of group tours
  • Supporting the execution and proofreading of written materials such as board reports, website and social media posts, and marketing and development copy
Support the management of Career Development Programs, specifically internships, including:
  • Generating and tracking relevant school and community contacts
  • Participating in career fairs, panels, and other opportunities to discuss the Alleys career development opportunities in the community.
  • Serving as the Alleys contact for select funded internship programs.
  • Helping establish timelines and workflows related to the application and selection process.
  • Supporting the receipt and sorting of applications, and the dissemination of applications to appropriate supervisors
  • Provide organizational support to supervisors in the interview and selection process.
  • Help plan and execute engagement opportunities for participants during the internship period.
  • Help disseminate and collect program evaluations.

REQUIREMENTS (SKILLS and KNOWLEDGE):
  • College degree preferred, or a minimum of 2 years experience in administrative support.
  • Proficiency in MS Excel, and MS Word
  • Experience with Tessitura or a similar CRM database preferred but not required.
  • Strong editing and proofreading abilities.
  • Ability to work in a fast-paced, energized and quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Detail oriented, able to prioritize efficiently and multi-task.
  • Ability to be self-directed and take initiative.
  • Ability to maintain confidential information.
  • Excellent verbal and written communications skills.
  • Exhibits a positive attitude with good communication and interpersonal skills.
  • Understanding of historical and institutional racism in the American theatre, or a commitment to learning, and to be a part of Alley Theatres efforts to be an anti-racist organization.
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to lift and move 25 lbs.
  • Must be comfortable working in a fast-paced environment where directions and priorities can change rapidly.
  • Typical hours are during the day, but the position requires flexibility to be available for weekend, holidays and evening work hours as needed.
