Industrial Inspection & Analysis is seeking a highly organized and detail-oriented individual to join our metrology lab team in Irvine, CA as a Documentation Specialist and Administrative Assistant. The successful candidate will play a crucial role in maintaining accurate and comprehensive documentation, ensuring compliance with industry standards, and providing administrative support to enhance the efficiency of the lab operations.
Responsibilities
- Documentation Management:
- Create, update, and maintain detailed documentation related to metrology procedures, equipment calibration, and quality assurance processes.
- Ensure documentation complies with industry standards, regulatory requirements, and internal procedures.
- Implement version control and organize documentation in a systematic and accessible manner.
- Quality Assurance
- Collaborate with metrology technicians and quality assurance teams to ensure adherence to established standards.
- Conduct regular reviews of documentation to identify and address discrepancies, inconsistencies, or outdated information.
- Administrative Support
- Provide administrative assistance to the metrology lab, including managing calendars, scheduling appointments, and coordinating meetings.
- Assist in inventory management, including ordering and tracking supplies and equipment.
- Handle incoming communications, prioritize tasks, and respond to inquiries.
- Record Keeping
- Maintain accurate records of equipment calibration, maintenance activities, and testing procedures.
- Ensure the confidentiality and security of sensitive information.
- Communication
- Facilitate communication between different teams within the metrology lab.
- Assist in the preparation of reports, presentations, and other communication materials.
Qualifications
- Proven experience in documentation management and administrative support, preferably in a metrology or laboratory setting.
- Familiarity with quality management systems and industry standards related to metrology.
- Strong organizational and time management skills with a keen attention to detail.
- Excellent communication skills, both written and verbal.
- Proficient in using office software, including Microsoft Office Suite and document management systems.
- Ability to work independently and collaboratively in a dynamic and fast-paced environment.
Preferred Qualifications
- Experience with metrology software and calibration processes.
- Knowledge of ISO 17025 or other relevant quality standards.
- Familiarity with laboratory equipment and measurement instruments.
