Under minimal supervision, the successful applicant will serve as the Division Scheduler and provide additional administrative assistance to the Division Manager, Division Chiefs and Vice Chiefs, 20 other Faculty and 64 staff physicians in the Division of Hospital Medicine which staffs the hospital 24/7, 365 and the Division of Geriatrics, Hospice, and Palliative Medicine. This position will serve as an administrative contact person, interacting with University administrators, faculty, fellows, residents, clinic personnel, staff, students and the general public. Successful applicant will utilize independent judgment to prioritize tasks and respond to the needs of the faculty and staff; effectively communicate in person, by telephone and inwriting, plan, and organize. This position was also serve as the Division Scheduler and resource to independently coordinate the physician scheduling processes within a specified setting or as designated per operational needs. Under minimal supervision the successful applicant will evaluate situations, make decisions, adjust priorities, and respond with flexibility to requests for assistance in problem solving. The incumbent will have the knowledge of and ability to interpret University and UCDHS policies and procedures regarding travel, reimbursements, purchasing, promotions/merits, and medical staff actions.
As this position represents the two Divisions, the successful applicant should have several years of experience using strong interpersonal, verbal and written skills in order to deal effectively and patiently with people from diverse backgrounds and cultures. This position will also be responsible for, but not limited to the following tasks: managed with scheduling all program events including but not limited to inpatient, minimal outpatient, electives, and the annual schedule. Will schedule multiple individual events that impact the normal rotation schedule. This includes scheduling trainings, Holiday vacations, retreats, medical leave coverage, vacation, etc. In addition, the incumbent must independently meet with and interacts with institutional and regulatory administrative offices to maintain a broad range of working relationships including officials of external agencies (VA, Lifepoint Kindred Hospital, etc.) and the other future partners to interpret, explain, and implement University policies and procedures on behalf of the Program. The work of the position is completed in a complex, politically charged and rapidly changing environment.

Minimum Qualifications
- Experience in managing complex calendars and to schedule and coordinate large, complex meetings and conferences.
- Advanced knowledge of Microsoft Excel, Microsoft Word, Microsoft Outlook, and basic PC hardware. Knowledge of or ability to learn software programs (Ecotime, Lightning Bolt or a commercial scheduling program)
- Superior problem-solving skills and the ability to problem solve in a manner consistent with institutional and departmental goals and objectives.
- With minimal supervision demonstrates management, administrative, organizational, planning, and critical thinking skills
- Excellent organizational and time management skills to establish goals, ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions, maintaining composure under heavy workload, conflicting priorities or difficult callers/visitors.
- Ability to work independently with minimal supervision and direction as well as part of a team; effective collaborative skills to build trust among faculty, staff and colleagues and all levels of medical and non-medical personnel within UCD/UCDMC and outside agencies
- Demonstrated ability to follow through on details, providing all necessary and required documentation.
- Knowledge of UC Davis and UCDHS structures, policies and procedures.
- Skills to develop innovative solutions, to attempt difficult and unfamiliar project assignments, and to respond with flexibility to request for assistance in problem-solving and organizational development.
- Demonstrated customer service skills and experience working with staff, faculty, patient and a culturally diverse workforce.
- Ability to discern sensitive issues and maintain confidentiality. Be flexible and able to respond under minimal supervision to resolve problems as they relate to the section.

- Bachelor’s degree in related area and / or equivalent experience / training
