Under general supervision, performs clerical and general office duties of moderate difficulty in the office of the District Clerk.
Essential Duties and Responsibilities:
Opens and maintains case records using automated records system; enters case data and information on defendant and other parties; assigns case number and creates file jackets used to retain legal documents.
Processes Orders to Appear; prepares or issues bonds, warrants, capias, citations, writs, summons, subpoenas, commitments, and other legal documents in accordance with procedures and regulations.
Attests in court to pleadings, payments of fines and court costs, and defendants’ signatures when verification and/or certification is requested by the attorneys of record or the presiding judge.
Files documents including motions, orders, writs, reports, and appearances; logs filing information into computer system.
Sets up fees for defendants according to case type, number of arrests, and other factors; accepts and credits payments received in person or by mail from defendants
Receives payments, posts fines and fees, endorses checks, and issues receipts for court costs.
Processes disposition of court cases by verifying and checking all documents for proper completion and required signatures; closes case files when final orders are signed by judges; mails final order notices to all parties involved.
Interacts professionally and effectively with a wide variety of persons, including attorneys, judges, County office representatives, and the public.
Prepares transcripts and other documents for case transfers to appeals courts or other counties; prepares billing for records copying or other fees.
Mails forms and other materials to individuals, agencies, law firms, and other organizations, as required or requested.
Answers multiple-line telephone; provides information to callers, as appropriate; transfers calls or takes and relays accurate messages, as appropriate.
Oversees the scanning and archiving of legal records and documents; assists staff with records scanning and/or records maintenance questions or problems.
Maintains confidentiality of information and follows departmental procedures for releasing documents and case information.
Assists in other work areas as needed; attends meetings and training sessions; performs other duties, as assigned.
Knowledge, Abilities, and Skills:
Knowledge of general office operations and records maintenance; knowledge of the operation of personal computers for inquiry and data entry; knowledge of legal terminology and documents; knowledge of legal proceedings and processes.
Ability to perform work responsibilities in a timely and accurate manner; ability to work independently and meet regular deadlines; ability to work effectively with staff and others; ability to operate scanners, copiers, and other office equipment.
Skill in oral communication and interpersonal relations.
Physical Requirements and Work Setting:
Works in a well-lighted, air-conditioned environment; prolonged periods of sitting and periodic walking, standing, bending, and reaching; occasional lifting up to 15 lbs; visual acuity, hearing ability, and manual dexterity required.
Education and/or Experience Required:
One year of experience equivalent to a District Clerk I; OR, two years of experience as a court clerk, legal secretary, other position providing knowledge of legal terminology and public records maintenance.
